Position Description
Provides management over the daily financial operations. This role includes oversight of the accounts payable, payroll, procurement, cash management processes, and coordination with other financial functions. Additionally, the Manager of Finance Operations will handle non-grant and non-donor revenue receipts, including membership fees, commercial lease revenue, and other receivables. The Manager of Financial Operations will collaborate closely with the Director of Finance to support financial planning, budgeting, reporting, and ensuring the integrity of financial data.
- Oversee the accounts payable function to ensure timely and accurate processing of transactions;
- Manage the payroll processing function, ensuring compliance with all relevant regulations and timely payment of salaries;
- Supervise the daily cash management activities, including cash flow monitoring and forecasting;
- Manage procurement processes, including vendor payments and expense management;
- Oversee the RFP process for operational procurement to ensure compliance and effective vendor selection;
- Oversee the billing and collection of non-grant and non-donor revenue collection such as membership fees and other revenues;
- Manage receivables and timely invoicing, ensuring accurate recording and reporting of revenue collected;
- Monitor accounts receivable aging and follow up on overdue accounts;
- Ensure accurate recording and reporting of all non-grant and non-donor revenue receipts;
- Prepare and review financial reports, including monthly, quarterly, and annual reports;
- Assist in the preparation of budgets and forecasts, ensuring alignment with organizational goals;
- Ensure compliance with all financial policies and procedures, as well as regulatory requirements;
- Develop and implement internal controls to safeguard the organization's assets and ensure the integrity of financial data;
- Coordinate with external auditors and provide necessary documentation for audits;
- Liaise with external auditors and support annual audits of YWCA Hamilton expenditures, assets and liabilities, making sure the recorded figures are verifiable and accurate;
- Lead and mentor a team of finance professionals, including the personnel in Accounts Receivable, Accounts Payable, Payroll, and General Ledger Accountant;
- Provide training and development opportunities to enhance the skills and capabilities of the finance operations team;
- Foster a collaborative and high-performance work environment;
- Identify opportunities for process improvements and efficiencies within the financial operations;
- Implement best practices and technology solutions to streamline financial processes;
- Monitor and evaluate the effectiveness of financial systems and recommend enhancements;
- Manage relationships with key vendors and service providers, ensuring effective and efficient service delivery;
- Collaborate with internal stakeholders to address financial inquiries and provide support;
- Collaborate with the Grant and Funding Compliance personnel, managers and directors to ensure proper tracking and reporting of grant expenditures;
- Support adherence to grant budgets and funding requirements;
- Work with the Finance team to build and maintain a strong internal controls environment that will deliver timely and accurate financial information across the organization;
- Identifies and evaluates risks associated with finance and takes appropriate action to control risks;
- Maintains high level of confidentiality when working with sensitive financial information, employee information and payroll records;
- Directly manages a minimum of 3 employees; including recruiting, training and evaluating performance;
- Represents the YWCA Hamilton and always maintains outstanding public relations skills and a professional image in the community;
- Nurtures and forms meaningful internal and external working relationships and partnerships;
- Stays current on emerging trends, leading practices and legislation;
- Fosters a safe and healthy work environment; ensures employees comply with health, safety standards that meet or exceed legislated requirements;
- Demonstrates and models strong leadership behaviours as a member of the YWCA leadership team;
- Participate and provide mandatory organizational and departmental trainings and meetings;
- Supports YWCA Hamilton mission, vision and values;
- Perform other duties as required.
WORKING CONDITIONS:
- Works a standard 37.5-hour work week;
- Occasional evenings and weekends and travel may be required.
Qualifications
- Bachelor’s Degree in Finance, Business, Accounting or related field;
- Recognized professional accounting designation (CPA) or equivalent considered an asset;
- Minimum 5 years’ supervisory experience in finance operations or accounting;
- Must have in-depth knowledge of Generally Accepted Accounting Principles (GAAP);
- Must have strong computer literacy, including: advanced working skills of MS Word, Excel and Outlook;
- Experience or familiarity with Accounting software and Financial reporting; Experience with Sage Intacct ERP considered an asset;
- Prior experience in a unionized environment considered an asset;
- Proven leadership, problem solving and analytical skills, both quantitative and qualitative;
- Proven analytical skills and problem-solving abilities;
- Strong analytical skills with the ability to collect, organize, analyze, and disseminate significant amounts of information with attention to detail and accuracy;
- Experience developing and executing data analyses, data collection systems and other strategies that optimize statistical efficiency and excellence;
- Ability to lead with a feminist, anti-racist / anti-oppressive perspective for day to day work and strategic planning;
- Must provide a current Criminal Record Judicial Matters Police check or willingness to obtain at own cost;
- Excellent interpersonal and communication skills;
- Ability to work occasional evenings and weekends with some travel as required;
- Ability to work independently with minimal supervision, and also work effectively in a team;
- Bilingual English/French or other languages an asset.
