JOB SUMMARY 

The Donor Services Coordinator is a key role in the Rick Hansen Foundation, contributing significantly to the effective and efficient operation of the Resource Development unit.   This position is responsible for providing excellent customer service to our donors to ensure their   continued support and the sustainability of the organization. 

 

WORKING RELATIONSHIPS

The Donor Services Coordinator reports to the Manager, Community Giving.

KEY ACCOUNTABILITIES

  • Primary point of contact for donors, manage inbound donor communications, ensure exceptional donor experience and foster long-term, meaningful relationships;
  • Work with Finance and Administration teams to ensure incoming mail is opened and processed in a timely manner, and major and corporate gifts, bequests and in honour/memoriam gifts are flagged immediately to the Resource Development team;
  • Receive donations to the Rick Hansen Foundation, adhering to all data entry policies and procedures; ensure donations are correctly deposited in the bank; create campaigns; ensure all donation batches are completed and coded accurately and in a timely manner, and accurate records are maintained at all times in Salesforce CRM database;
  • Ensure the integrity and accuracy of the donor database by running regular queries to correct duplications and errors, create/link relationships, and update addresses and other donor information as needed, and report back to the Manager, Community Giving;
  • Ensure the smooth day-to-day implementation of stewardship activities such as tax receipts and thank-you letters are issued and mailed/emailed in a timely and accurate manner in compliance with CRA rules and regulations;
  • Retain and file supporting documentation and records for all donations;
  • Develop queries, lists and reporting in Salesforce for mailings including direct mail appeals, newsletters, direct mail, annual reports and other correspondence for donors, as well as campaign metrics reporting for Resource Development team;
  • Review stewardship communications pieces, including but not limited to holiday cards, generic thank you letters, etc. on a regular basis to ensure accuracy and validity, and work with the Manager, Community Giving to update as required;
  • Update procedural and operating instructions for Community Giving and Planned Giving programs as needed;
  • Maintain a thorough understanding of CRA regulations and best practices for the processing and recording of gifts;
  • Provide administrative support for filing, photocopying, scanning, preparation of direct mail campaigns and mailings, monitoring and ordering supplies and stationary, couriering packages and other related office duties; and
  • Perform other related duties in keeping with the purpose and accountabilities of the position.

QUALIFICATIONS

An equivalent combination of education, experience and skills will be considered.

 

Education: Post-secondary education is preferred.

Certifications/Designations: none

 

Experience/Knowledge

  • Experience fundraising in a non-profit environment with a good understanding of fundraising principles;
  • Strong attention to detail and a high degree of accuracy are important, as is the ability to be organized and manage multiple tasks with competing priorities;
  • Highly proficient with Salesforce CRM or similar (minimum of 2 years), and can independently run queries and reports, and maintain the integrity of the database;
  • Proficient in MS Word, Excel Outlook and PowerPoint;
  • Knowledge of charitable tax receipt process and relevant CRA guidelines is required;
  • Ability to independently create tailored thank you and acknowledgement letters; and
  • Proven effective donor relationship building skills are required, with the ability to be tactful, proactive, diplomatic and discreet.
