In May 2022, Government of Canada’s federal Department of Environment and Climate Change (ECCC) engaged NovaSphere to deliver an implementation program : ”Bilateral Support for Implementation and Achievement of Nationally Determined Contributions (NDCs) in West Africa ” . Working closely with various stakeholders in West Africa (Togo, Ghana, The Gambia and Liberia), NovaSphere is mandated to support defining regional and national priorities to address greenhouse gas and SLCP emissions and to pursue opportunities for harmonizing measurement, reporting and verification (MRV) systems. The program objectives are to strengthen and mature domestic climate governance by establishing more efficient and effective climate Measurement, Reporting and Verification (MRV) systems that enhance national capacity to plan, scale and accelerate the implementation of country-established climate priority actions, overcome barriers to Nationally Determined Contribution (NDC) implementation.
Project Pilots Coordination
As the organizations activity is growing, NovaSphere is seeking a Project Coordinator whose core responsibilities will be to coordinate, monitor and maintain project pilot schedules as well as collaborate with team members to optimize day-to-day pilot project operations.
Under the Supervision of the Chief Operating Officer (COO), and working along side the current project coordinator, the role entails updating and maintaining pilot activity forecasts, billing schedules, resource allocation, contract management, monitoring progress as well as maintaining pilot deliverables & updating accordingly internal project plan.
- Pilot activities financial and billing coordination:
- Work in cooperation with the project management team to update and optimize project activity forecasts on expenditures and budgets.
- Respond to routine enquiries relating to pilot activity billing and financials, and appropriately liaise and coordinate internally for efficient resolution.
- Utilizing the project management software, monitor, and troubleshoot as required incoming monthly invoices from vendors.
- Be a point of contact and liaise with contractors to ensure that all invoices have been received, validated, approved, and provide updates to PM of progress as required ;
- Maintain and ensure timely payment of all contractors invoices and compile, collect backup information for all payments.
- Pilot resourcing: contract and vendor coordination
- Draft Work Orders and support negotiations.
- Support as required contract negotiation and execution of contracts and work orders with subcontractors and consultants.
- Maintain and update contractor’s file to ensure ease of access and support resource allocation as required.
- Flag impending ending Work Order / Agreements to be renewed, amended, and troubleshooting as necessary.
- Pilot activity coordination: Activity forecasts, deliverables & KPI
- Maintain a pilot activity plan to track activity progression and anticipated deliverables.
- Draft related status reports for a multitude of program stakeholders.
- Ensure all KPIs are collected (through multiple channels: scheduled surveys & reports), collated and made available as appropriate to funder, pilot stakeholders and / or for reporting purposes.
- General pilot Project administration & coordination
- Support as required all pilot project Professional services coordination (inc Global Events Planning )
- Support and coordinate with NovaSphere management team.
- Perform other duties as assigned and needed for the success of the project.
Skills & Qualifications
Previous experience :
- Bilingual Eng and Fr is a strong asset
- 2 + years experience or equivalent experience in administering a SaaS a strong asset
- Expert competencies in Excel/ Gsheets ((for example, knowledge of: INDEX / Match formula functions; Power Pivot, some exposure to data modeling)
- Bachelor’s or equivalent experience in job related field
- Minimum 2 years relevant project coordination / contractuel coordination experience
- Previous experience in international development a solid asset, but not required.
- Experience in policy and public administration, climate sustainability industry or business administration an asset, but not required.
Skills set and competencies :
- Strong communication written and oral with the ability to engage and build relationships with diverse stakeholders.
- Excellent creative problem-solving capabilities and organizational skills with the ability to manage multiple tasks and meet urgent deadlines.
- Ability to work in fast paced environment, and often tight deadlines.

Requirements :
- The function may bring the candidate to travel internationally: a valid passport is required, along with the ability to be away from home for 1-2 weeks approximately 3-4 times per year.
- The function requires the person to be in good physical condition:
- for eventual international travel to remote locations (+30 hrs travel), and international vaccinations.
- possibility of long working hours, and / or requirement to lift, move items of under (approximately) 10 kg, as well as above average mobility throughout the day (meeting stakeholders, coordinating meetings etc.).
- Valid Canadian work permit or citizen
- A valid driving license is an asset.
