Position: Human Resources Generalist
Purpose: The Human Resources (HR) Generalist at AMSSA will play a pivotal role in supporting the human resources function by overseeing a broad range of HR activities that foster a productive and positive work environment. This role emphasizes ensuring compliance with HR policies, enhancing employee engagement, and providing essential support in recruitment, onboarding, and retention efforts. A key responsibility will be generating contracts and maintaining accurate HR documentation, in alignment with AMSSA's mission to offer strong organizational support for both employees and management. The ideal candidate will possess strong organizational skills, meticulous attention to detail, and the ability to efficiently manage multiple HR processes, all while upholding a high level of confidentiality.
Reports to: People, Culture & Engagement Manager
Classification: Full-Time Contract; October 2024 - October 31, 2025; subject to extension based on funding.
Hours & location: 35 hours per week - work from AMSSA's office located Metrotower II, Suite 2308, 4720 Kingsway, Burnaby, B.C. V5H 4N2 with the possibility of working from home 2 days a week.
Salary: $35.86 - $38.02/ hour commensurate with experience - Eligible for benefits after three months

DUTIES

  • Draft, review, and generate employment contracts, contractor agreements, letters of agreement, and memoranda of understanding.
  • Ensure compliance with legal and organizational requirements in all contractual documents.
  • Maintain accurate and up-to-date employee records and contact information.
  • Manage and file HR documentation related to onboarding, performance reviews, promotions, and terminations.
  • Support recruitment efforts by coordinating job postings, screening candidates, and conducting initial interviews.
  • Oversee the onboarding process for new hires, ensuring a smooth transition into their roles.
  • Develop internal employee trainings and a directory of training resources.
  • Act as a point of contact for employee inquiries regarding HR policies and procedures.
  • Oversee the offboarding process for exiting employees including conducting exit interviews, notify Accounts Manager for Record of Employment, and related duties.
  • Foster a positive work environment through employee engagement initiatives and conflict resolution.
  • Working with the People, Culture & Engagement Manager strategize employee engagement initiatives for the AMSSA staff both remote and in-person including but not limited to all staff meetings and social events.
  • Ensure compliance with employment standards including labour laws in other Provinces and Territories and organizational policies.
  • Assist in the development, implementation and maintenance of HR policies and procedures including Operations Guidelines, total rewards and benefits documents.
  • Support the Executive Team in developing and sending internal employee updates and communications.
  • Perform some business and executive assistant functions including supporting the CEO and Executive Team with generating travel expense claims and other duties as assigned.
  • Maintaining all HR files, and inventory of documents ensuring up-to-date templates and records of overall HR activities.
  • Develop, establish and oversee an HR process and schedule for the Executive Team, hiring managers and supervisors.
  • Manage the HUMI HR software system, ensuring accurate tracking and updating of employee information and related HR processes.
  • Support and organize the logistics of all staff, employee engagement and team meetings as required.
  • Research, organize and document employee training and professional development as required.
  • Write minutes and/or meeting notes as required.
  • Work with the AMSSA team on additional and emerging projects as required.

QUALIFICATIONS

  • Bachelor's degree in Human Resources, Business Administration, or a related field.
  • Minimum 3-5 years of experience in an HR generalist or related role.
  • Experience in contract generation and HR documentation management.
  • Familiarity with HR software systems, particularly HUMI, is an asset.
  • Strong organizational and time-management skills, with the ability to manage multiple priorities.
  • Excellent attention to detail and accuracy in maintaining records and generating contracts.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), online meeting platforms and HRIS systems.
  • Strong written and verbal communication skills, with the ability to interact effectively with staff at all levels.
  • Ability to foster positive employee relations and engage effectively with diverse teams.
  • Strong problem-solving skills and the ability to handle confidential matters with discretion.
  • A collaborative approach with a focus on providing administrative support to senior leadership, including managing travel expenses and schedules.
  • Comprehensive understanding of Canadian labor laws, occupational health and safety, and HR best practices.
  • Ability to implement and monitor HR policies to ensure compliance and foster a positive workplace environment.
  • Certified Human Resources Professional (CHRP) or Certified Human Resources Leader (CHRL) designation is an asset.
  • Experience working in a non-profit or association is an asset.
