Overview
Reporting directly to the Founder and Chief Executive Officer (the “CEO”), the Director of Operations is a key leadership position. You will play a vital role managing the day-to-day operations and ensuring our programs and services continue to be successful in both the short- and long-term. You will be responsible for managing program budgets, completing required reporting, overseeing human resources, finance and information technology functions, and providing oversight to policies, procedures and risk management. You will also support the project teams to successfully deliver on their mandates, engage with key stakeholders, and manage project budgets. You will support the CEO in securing project funding, preparing required reporting, as required.
Duties and Responsibilities
Leadership and Management
- Oversee the day-to-day operations and activities for all programs and services, including monitoring of policies and ensuring compliance.
- Develop and direct, with support from the CEO, organizational strategy for programs and service.
- Communicate effectively to all program and services stakeholders and staff.
- Identify areas for improvement and work with program leaders to develop and implement solutions.
- Where appropriate, identify, design, develop and obtain approval from the CEO, for new programs and enhancements to existing programs, ensuring alignment with charitable purposes and our Mission and Values.
- Be knowledgeable and keep current on relevant legislation.
- Attend calls with funders to provide project updates, as required.
Financial Management
- Oversee the Finance function, including related reporting, development and recommendation of yearly program budgets for Board approval, and management of Voice Found’s project resources within those budget guidelines according to laws and funder requirements.
- Support the Finance and Operations Coordinator in the preparation of quarterly financial reports to the Board.
- Ensure compliance and proper recording of project-related income and expenditures.
- Provide recommendations to the CEO for any acquisitions or expenditures required to support Voice Found projects.
Human Resources Management
- Effectively manage human resources according to authorized organizational policies (e.g., employee handbook) and procedures (e.g., health and safety protocols), and conforming to current laws and regulations.
- Ensure all staff are provided with tools and resources required for their jobs.
- Lead the design, execution, and continuous enhancement of the annual performance review process, ensuring alignment with organizational goals, fostering professional growth, driving accountability, and ensuring staff development and retention.
- Hire appropriate and qualified staff, manage their onboarding, monitor performance, and provide regular feedback.
- Manage consultants/contractors including contracts and performance, as required.
Public Relations and Communication
- Help ensure Voice Found and its mission, programs, products and services are consistently presented in strong, positive image to relevant stakeholders.
- Represent the organization publicly, as required.
- Attend calls with funders, as required, to provide project updates.
- Support the development of relationships with a broad range of community and business sectors including city communities and agencies, all levels of government, other non-profit organizations and private sector businesses.
- Undertake activities within the community that enhance the visibility and increase awareness of, and support for, Voice Found’s mission.
- Support the CEO in implementing and leading strategic communications and marketing activities.
- Support the CEO in developing and increasing project funding from new and/or existing sources, as required.
Technology and Facilities Management
- Oversee facilities management, required for Voice Found projects, ensuring the workplace is safe and well maintained.
- Research and make recommendations to the CEO if changes are required.
- Ensure Voice Found’s Information Technology needs required for projects, are current and up to date.
- Maintain security and integrity of network and storage of virtual and physical documents related to projects.
Qualifications
Experience
- 5+ years senior level management experience in a not for profit, charitable organization or a national organization.
- Excellent oral communication skills, including presentation skills talking with a diverse population.
- Excellent written communications, including report writing.
- Proven leadership and development skills.
- Program, service and product design and implementation experience.
- Strong work ethic with a high degree of integrity.
- Proven experience managing project/operational budgets.

Academic
- Post-secondary education in social services, business management, non-profit management or equivalent o Proven experience with references is accepted if no formal education provided the candidate has experience and/or has taken training in the following: ▪ Management courses focused on communication and employee management.
- Communication skills including media, written and presentation skills.
- Program/project management experience.
- Financial basics including budgeting (basic accounting principles an asset).
Assets
- Experience working with marginalized population
- Bilingual (French/English)
- Knowledge of the laws and policies that govern Canadian charities.
- Experience with grant writing
- Media training and experience is a strong asset.
Working conditions
- Voice Found is a small and rapidly growing organization. The job is demanding and requires the ability to prioritize and focus on the big picture. It is important to be flexible, adaptable and understand shifting priorities.
- As a survivor-led organization employing people with lived experience, it is important that a trauma-informed approach be taken and that accommodations be made for employees who do their work as people with lived experience.
- The role will have exposure to emotionally charged situations, including interacting with individuals experiencing or who have experienced crises, trauma, or high levels of stress. The ability to manage one's own emotions while providing support to others is essential.
- Due to the nature of the role, there is a risk of compassion fatigue. Support and resources will be provided to help manage and mitigate these effects.
- It is understood that there will be times when you will be required to work beyond 40 hours a week, including weekends
- Travel may occasionally be required; any related costs will be covered by Voice Found in accordance with the Voice Found travel and expense policy.
- Physical requirements: The work is not physically demanding.
Compensation and Benefits
- $80,000 to $85,000 (based on candidate’s experience and qualifications)
- Three weeks’ vacation plus paid time off at between Christmas and New Year’s (depending on organizational requirements)
