Administrative Assistant and Receptionist (Part – Time)
Summary
This is a part-time contract position for a person with lived experience of HIV. The Administrative Assistant and Receptionist will support the Executive Director with administrative and financial tasks, and the Bruce House team with client and administration support. They will be responsible for the reception desk. They will be the first point of contact with clients, by answering the phone and the front door.
Language Requirements

• English speaking, writing, reading
Tasks & Responsibilities
• Answer telephone calls including booking/confirming client appointments with program staff, answering general questions, and directing phone calls to the appropriate staff.
• Greet clients in a calm and friendly manner, listening, and connecting them to a program staff.
• Assist program staff by giving out food items from the food program, gift cards, personal protective equipment, and other supplies as have been arranged/approved by program staff.
• Input client encounters into excel sheet.
• Assist program staff with client events (setup/clean up; distribution of information).
• Assist with collecting and providing a receipt for monthly client rents.
• Book and coordinate client pick ups and deliveries when necessary.
• Manage incoming deliveries and courier requests.
• Responsible for ordering office supplies and inventory control of office supplies.
• Assist with general office upkeep, including maintaining a tidy and organized space with a daily office maintenance check list.
• Assist the Executive Director with administrative and financial tasks.
• Provide support for staff including filing, mailing/emailing, assisting with fundraising and donor recognition, and general office support.
• Assist with writing and sending out community recognition cards and client birthday cards.
• Other duties as required.
Education and Experience
• Education, work experience and or lived experience in health or social services is an asset.
• Knowledge and experience of psycho-social issues related to HIV.
• Knowledge of Microsoft Office programs and general computer skills.
• Knowledge of social determinants of health, and their impact on marginalized communities.
• Knowledge of harm reduction.
• Experience working with diverse communities.
