A Brief Overview

The Centre for Teaching and Learning (CTL) offers comprehensive programs and services to meet the educational development needs of the Queen's teaching community. Services include individual, departmental, faculty-wide and institutional consultations on all aspects of the educational process at Queen's.
Reporting to the Director, and in collaboration with the Leadership Team at the CTL, the Program Coordinator is responsible for providing operational administrative and financial support, event and program coordination and support, and data gathering and reporting duties to the Centre for Teaching and Learning (CTL).

Program and event coordination involves handling the logistics, fiscal responsibilities and reporting for the CTL's programs, events and activities, including event marketing, engaging in professional correspondence and preparation of materials, websites and social media campaigns. The incumbent provides operational supports including data gathering, data management, reporting writing general word processing, and information distribution.

Regular work activities include reception and clerical services including directing phone calls and visitors, referring individuals appropriately, and other administrative duties as assigned. This also includes communicating with other members of the University community, external organizations, and acting as a contact and resource person to senior administrators. The incumbent will become a contributing part of a community in the CTL that demonstrates a commitment to equity, diversity, inclusion, and the promotion of a respectful and collegial learning and working environment.

This position serves as the departmental contact for program participants, providing resources and/or advice on program details. This position coordinates program logistics including workflow, participant scheduling, course scheduling and communications and/or room bookings. This position assists with the planning and execution of events. This position performs accounting and bookkeeping activities including budgets, funding tables, contracts, timekeeping and payroll, reconciliations, and reports. This position also directs, allocates, and supervises the work of other staff.

The schedule for this position requires the incumbent to work variable hours, including regular attendance at early morning meetings.

Required Education

  • Four-Year Bachelor Degree or equivalent.

    Required Experience

    • More than 3 years and up to and including 5 years of experience.
    • Experience developing, coordinating and producing promotional and marketing material considered an asset.
    • Experience in financial services practices considered an asset (e.g., maintaining accounting records, etc.).
    • Experience in web design and website content development and management tools considered an asset (e.g., DreamWeaver, FrontPage, etc.).
    • Consideration may be given to an equivalent combination of education and experience.
