The Arrowsmith Agricultural Association is a registered charity with roots back to 1913 when district farmers held the first Coombs Fall Fair to showcase local food crops and livestock.​ With a focus on promoting agriculture and providing fun and educational activities for the community, we operate a facility that includes several multipurpose buildings, barns, outside arenas and large grassed areas. Today our Fair attracts more than 3400 visitors over two days and we are truly an “Old Fashioned Agricultural Fair”. We also hold several other annual events on our grounds with our community partners.

We are seeking a detail-oriented and dynamic Office and Event Coordinator to join our team. The ideal candidate will possess strong organisational skills and a passion for community, ensuring that all events are executed flawlessly from conception to completion. This role requires excellent time management abilities, as well as the capacity to communicate effectively with clients and vendors. The Event Coordinator will play a crucial role in creating memorable experiences while managing budgets and negotiating contracts.

Key Responsibility Areas

Office Duties:

  • Coordinate rental bookings, liaise with renters and oversee office finances and functions.

  • Maintain Association data records, both electronic and paper.

  • Implement strategies to enhance client offerings and increase revenue opportunities.

  • Coordinate cleaning and ground maintenance personnel.

Administration Support:

  • Work closely with financial board member(s) and assist in development of an annual budget.

  • Assist with grant applications and reporting, sponsorship and fund-raising.

  • Assist with digital communications and marketing.

Special Events Responsibilities:

  • Plan, coordinate, and execute the Coombs Fair and other year-round events.

  • Coordinate and work with volunteer committees and the Board of Directors to achieve successful outcomes.

  • Develop and maintain event budgets while ensuring cost-effective solutions.

  • Negotiate contracts with vendors and suppliers to secure the best rates and services.

  • Provide exceptional customer service throughout the planning process and during the event.

  • Liaise effectively with community stakeholders and partnerships.

  • Conduct post-event evaluations to gather feedback and improve future events.

Experience, Skills and Knowledge

  • Excellent Office skills and knowledge of computer systems.

  • Ability to work independently with minimal direction while exercising mature judgement and strong organisational skills.

  • Strong interpersonal and communication skills to create effective working relationships with others and successfully interact with stakeholders, peers, and potential clients.

  • Flexibility to work in a variety of situations and provide a service-focused approach to all clients.

  • Excellent time management skills with the ability to manage multiple projects simultaneously.

  • Proficiency in budgeting and financial management related to events.

  • Strong negotiation skills for dealing with vendors and suppliers.

  • Preferred minimum of 3 years in a co-ordination and administration role.

  • Proven experience in event planning or coordination is preferred.

  • Valid driver’s license and transportation

  • Clear criminal record check.

Full-Time/Flexible hours including evenings and weekends. Compensation depending on experience, possible salaried option for the appropriate candidate.
