Job Title: PACT LPC Administrative and Support Coordinator

Reports To: LPC Program Manager
Hours: 10–20 hours/month (flexible/part-time)
Compensation: $25/hour

Program Overview:
PACT LifePlan Coaching (LPC) is an award-winning, trauma-informed intervention for justice-involved youth and vulnerable middle school students. Through a unique evidence-based coaching process and individualized wraparound support model, LPC aims to instill a growth mindset, affect sustainable change, and support marginalized young people in breaking the cycle of crime and reaching their full potential. In middle schools, Leadership Lunch Clubs engage students in group coaching, mindfulness activities, and creative workshops to facilitate social and emotional learning skills and create more peaceful school environments.

Position Overview:
This dynamic and flexible part-time position —in-person and virtual—provides an excellent opportunity for a motivated individual with relevant experience who has ideally completed or is near completing post-secondary education in Social Work, Criminology, or Child and Youth Work. Reporting to the LPC Program Manager, this role combines administrative and direct youth engagement responsibilities. It supports program delivery for PACT coaches working with high-needs, vulnerable, and underserved youth through individualized case management, wraparound support, group programming, and administrative coordination. 

The part-time position is ideal for those seeking direct, multi-faceted experience in youth services with a small, well-established grassroots charity.

Key Responsibilities:

1. Administrative Duties:
Work with the LPC program manager to:

  • Verify and process invoices for payment

  • Obtain pertinent signed agreements and consent forms from clients, parents, referral agents, etc.

  • Schedule and document case management wraparound meetings

  • Support with onboarding and orientation for new coaches

  • Manage the LPC coaches' shared online folder and document library, which includes resources, program documents, and tools.

2. Client Monitoring and Performance Tracking:

  • Review, monitor and track weekly coach notes in a secure database (Volgistics) to report on attendance, progress, and required resources.

  • Help to prepare quarterly and final client progress and completion reports

  • Maintain accurate and current client-level data in Volgistics and update client performance checklists 

  • Compile and upload client-specific program and coaching-related reports and documents

  • Coordinate with the LPC program manager to follow up and liaise with individual coaches, referral sources and parents to support the client in addressing their needs and achieving their goals.

3. Resource Coordination and Third-Party Referrals:

  • Working closely with coaches, research and coordinate accessible school and community-based resources tailored to client needs and goals.

  • Support the end-to-end coordination and follow-up of client referrals to third-party resources, working collaboratively with individual coaches, their clients, their support team (i.e., parents, school staff, probation officers) and the LPC Program Manager as required.

4. Program Reporting and Evaluation:

  • Summarize data for client and program-level monthly status reports for internal stakeholders (PACT Leadership Team).

  • Assist in conducting, compiling, and evaluating client pre- and post-coaching questionnaires and feedback surveys from all stakeholders.

  • As required, help compile and prepare impact and outcome data, statistics, and other program content for annual impact reports and other status reports/updates for funders and stakeholders as needed.

5. Program Development Support:

  • Contribute to weekly programming preparation for students in group coaching-based Lunch Clubs. 

6. Social Media/Marketing Support:

  • Working with the LPC Manager, plan and post content on various social media channels.

Direct Youth Engagement:

  1. Group Coaching Facilitation:

    • Assist in delivering weekly Leadership Lunch Clubs at partner middle schools during the school year.

    • Assist with preparation, lunch orders, identifying and scheduling guest speakers and role models, conducting self-efficacy and feedback surveys and issuing completion certificates.

    • Support structured activities, including mindfulness exercises, vision boards, art projects and creative team-building activities to foster social-emotional learning (SEL) skills.

  2. 1:1 Client Support - Minimal:

    • Collaborate with coaches to empower youth clients with research, advocacy, and logistical support.

    • Under the guidance of the program manager, liaise with the client's support team to address client challenges and needs.

    • As requested, attend and document periodic wraparound check-in meetings with clients and their support teams.

  3. Youth Advocacy and Outreach:

    • With guidance from coaches, advocate for clients in various settings, including home, school, detention and community agencies.

    • Promote program awareness and education through outreach activities in schools, the justice system and the wider community.

  4. General

    • Attend monthly coach meetings and other professional development trainings.

Skills and Qualifications:

Education and Experience:

  • A post-secondary degree in social work or a related field from an accredited university or college, with a minimum of five years of direct experience in a related field, or an equivalent combination of relevant academic and professional experience.
  • Experience deploying programming for vulnerable youth (mental health, employment, recreational, tutoring/homework support, healthy living, wellness).
  • Understanding of educational and social issues faced by high-needs, justice-involved and underserved youth, including those with behavioral challenges, learning disabilities and additional barriers such as poverty, recidivism, lack of parental support and advocacy, lack of positive role models, unstable home environments and difficulty accessing community supports.
  • Experience and required sensitivities with crisis intervention and working in complex trauma-informed environments with at-risk, vulnerable youth and their families within diverse cultures and communities.

Skills and Competencies:

  • Self-starter with demonstrated creativity and problem-solving abilities.

  • Strong case management, documentation and reporting skills.

  • Strong interpersonal, organizational, and time-management skills and the ability to work independently within a team setting.

  • Experience in outreach, community and youth development, and program marketing.

  • Knowledge of and experience researching and vetting individualized youth-focused school and community-based resources and supports across Toronto. 

Certifications and Other Requirements:

  • Formal training in Positive Youth Development (PYD) approach and strategies, Mental Health First Aid, and a valid First Aid/CPR Certificate are preferred.

  • A successful Vulnerable Sector Screening (VSS) Police Reference Check is required.

  • A valid full G Class Ontario driver’s License, insurance, and access to a car are required.
  • Flexible and adaptable schedule with room for growth.
  • Proficiency in Google Suite applications.
