Applications are currently being accepted for a part-time (28-hours/week) Executive Assistant. This is a temporary job to cover a parental leave and while it is expected to last for eighteen (18) months, the duration cannot be guaranteed.

 

JOB PURPOSE

To provide confidential administrative support for the Executive Director. The objective is to ensure professional administration of the Executive Offices of the Agency, including the Board of Directors.

 

JOB RESPONSIBILITIES

  • Provide confidential project and administrative support for the Executive Director and Board of Directors
  • Maintain confidentiality required in working with sensitive materials and projects
  • Compose and type letters, memorandums, reports and documents, strive for 100% accuracy
  • Maintain Executive Director’s schedule
  • Receive, prioritize and forward mail, hard copy, electronic and phone
  • Attend Board and Committee meetings, take and transcribe minutes
  • Prepare and distribute minutes, agenda and attachments
  • Assist in maintaining and updating policies, procedures, and manuals
  • Schedule and organize meetings and events, prepare and distribute resource materials, arrange for meeting rooms and refreshments and extend invitations
  • Arrange travel and accommodations for meetings, events and conferences
  • Record and monitor action assignments and motions
  • Manage relevant administrative projects – including conducting initial research and providing recommendations
  • Maintain all administrative filing systems and records
  • Remind managers and Board Members of upcoming deadlines
  • Serve as Campaign Chair for annual United Way fundraising campaign
  • Participate in team meetings and provide input and ideas for improving administration and services
  • Serve as Lead on Social Committee
  • Contribute to team assignments and projects
  • Provide Reception back-up as required
  • Share in handling workload for positive results
  • Maintain the strictest confidence for all matters related to work in the Agency in accordance with relevant agency policy and practice
  • Perform other relevant duties as assigned for Management Team or Agency

 

KEY REQUIREMENTS

  • Post secondary education
  • 5 years experience in working at the Executive level
  • Experience working in not-for-profit
  • Strong organizational skills and project management capabilities
  • Good interpersonal skills and written communication
  • Excellent keyboarding skills (minimum of 60-80wpm)
  • Computer proficiency in relevant Microsoft Office programs, Word, Excel, PowerPoint, Publisher and other design programs, and database applications
  • Experience with minute-taking, writing and editing
  • Attention to detail and concentration in preparing documents, researching and communicating.
  • Ability to handle multiple projects and priorities.
  • As there may be a work-from-home component to this job, the ability to work from home, consisting of a safe and private home office setting and the necessary technical equipment and high-speed Internet access for remote work
  • Familiarity with virtual work platforms
  • Ability to work days and occasional evenings 
  • Ability to apply technology solutions to administrative activities
  • Demonstrate continuous efforts to update skills
  • Additional language(s) an asset
