Position Summary

The Fund Development, Quality Assurance, and Data Management Coordinator plays a key role in supporting Aboriginal Counseling Services Association of Alberta (ACSA) by ensuring effective fundraising, grant management, program evaluation, and database administration. This position works closely with the Executive Director to develop funding opportunities, maintain financial accountability, enhance service quality, and manage data systems. The ideal candidate is highly organized, detail-oriented, and committed to ACSA’s mission of strengthening Indigenous families and communities.

Key Responsibilities

• Fund Development & Grant Management

• Identify funding opportunities, including grants, corporate sponsorships, and donor contributions.

Assist in writing, submitting, and tracking grant applications and proposals.

• Develop donor engagement strategies and maintain donor relationships.

• Prepare fundraising reports and maintain accurate records of donations and grant disbursements.

• Support fundraising campaigns and special events, ensuring alignment with ACSA’s mission.

Quality Assurance & Program Evaluation

• Develop and implement quality assurance processes to ensure program effectiveness and compliance with funding requirements.

• Monitor and evaluate program outcomes using key performance indicators.

• Assist in preparing reports for funders, board members, and stakeholders.

• Work collaboratively with program staff to ensure continuous improvement and best practices.

• Support the integration of Indigenous cultural values and healing practices into program evaluations.

Data Management & Reporting

• Maintain and update the organization’s databases, including client, donor, and funding records.

• Ensure accurate data collection, entry, and reporting to support program accountability.

• Generate reports and analyze trends to support decision-making and program improvements.

• Ensure compliance with privacy regulations and data security best practices.

Administrative & Financial Support

• Assist with financial tracking, budget monitoring, and expense reporting.

• Support payroll administration by collecting and verifying timesheets.

• Maintain financial records related to grant funding and donor contributions.

• Assist in preparing financial reports and audits as needed.

Event Planning & Community Engagement

• Support the planning and execution of fundraising and community engagement events.

• Coordinate logistics for workshops, training sessions, and donor appreciation events.

• Develop promotional materials and event communications.

• Collaborate with Elders and program staff to integrate cultural elements into events.

Qualifications & Skills

• Diploma or degree in nonprofit management, business administration, social sciences, or a related field (or equivalent experience).

• Minimum of 2 years of experience in fundraising, grant writing, quality assurance, or data management.

• Strong knowledge of donor relations, grant funding processes, and program evaluation.

• Experience with data management systems, reporting, and analysis.

• Proficiency in Microsoft Office (Word, Excel, PowerPoint) and database software.

• Excellent verbal and written communication skills.

• Strong organizational and time-management abilities with attention to detail.

• Knowledge of financial processes, budgeting, and payroll administration is an asset.

• Experience in event planning and community engagement.

• Understanding of Indigenous cultures, traditions, and protocols.

• Commitment to ACSA’s mission, vision, and Seven Sacred Laws.

Working Conditions

• Office-based with occasional travel for events and meetings.

• Some evening and weekend work may be required for special events or urgent deadlines.
