Job Summary:

The Administrative Assistant – Leadership Support provides administrative support to the Director of Advocacy and Social Equity, for the Advocacy and Social Equity Department.  This position is responsible for managing and maintaining schedules, assisting with special projects and program administrative needs, and supporting the day-to-day operations of the Department.  The Administrative Assistant requires strong communication, organizational, and switch tasking skills.

Your Role:

Archway’s Administrative Assistant – Leadership Support with the Advocacy and Social Equity Department contributes by:

  • Managing and performing administrative tasks for the Director and programs, such as preparing communications, email and other correspondence, creating and editing documents, scheduling and coordinating meetings, invitations, agendas, taking minutes, and preparing program reports.
  • Organizing and managing calendars, developing and administering schedules; and preparing for and ensuring that all appointments, meetings, engagements, and deadlines are clear and met.
  • Preparing and administering correspondence; ensuring follow-up or forwarding to the appropriate team member.
  • Providing reminders and following up for meetings and appointments, ensuring appropriate lead time is given before meetings or project deadlines.
  • Identifying program and department needs and acting on addressing them.
  • Preparing and editing presentations and other documents using Office 365 and Prezi.
  • Recording minutes and disseminating information in an accurate and timely manner.

This position is a great fit for someone who is extremely well organized, is adept in using Windows Microsoft Office 365, particularly scheduling and using Microsoft Teams, is able to set up meetings and appointments, is skilled in reminding the Director of deadline dates, and taking minutes at meetings.

  • A permanent, full-time position at 35 hours per week, availability Mondays to Fridays, from 8:30 AM to 5:00 PM.

Getting an Interview – you will be considered if you have:

  • A high school diploma, GED, or equivalent credential.
  • A post-secondary diploma or certificate in Business Administration or a related field is an asset.
  • Experience in an administrative role.
  • Experience supporting a person in a leadership position.
  • Included both a cover letter and resume to outline your education and experience relating to the position.

The Job Requires you to have:

  • Strong written, verbal, and active listening skills; able to communicate respectfully and effectively with people from a variety of backgrounds.
  • Well-developed knowledge of office procedures and practices.
  • Strong business writing skills.
  • Ability to anticipate department and program needs and take initiative to act on needs.
  • Strong computer competency: able to use Microsoft Office365, specifically PowerPoint, Word, Outlook, and Excel and various virtual meeting platforms including Microsoft Teams, Zoom, and Cisco WebEx.
  • Ability to type 60 WPM with a high degree of accuracy.
  • Coachable capacity; open to new learning and new ideas.
  • Strong service orientation.
  • Strong planning, organization, and time management skills; able to prioritize and complete tasks to meet deadlines.
  • Ability to work effectively independently and as a member of a team.
  • Ability to exercise discretion and maintain confidentiality in the course of work.
  • Strong research, analytical and critical thinking skills; able to solve a variety of problems.
  • Ability to manage interruptions, and a well-developed ability to switch tasks in a busy environment.
  • Ability to interact with people in difficult situations.
  • Ability to work in a shared office space, respecting health and safety protocols.
  • A satisfactory Criminal Records Check is a condition of employment.
