This is a non-bargaining unit position.

Job Summary:

We are seeking a highly motivated and detail-oriented individual to join our team as an HR Administrator. In this entry-level role, you will support core HR functions including maintaining employee records, assisting with recruitment, onboarding, and offboarding, and supporting HR administration in a unionized environment. You will also play a key role in supporting payroll processes, ensuring data accuracy, and providing general administrative support. Additionally, this position is responsible for coordinating employee access to organizational resources such as equipment, systems, and facilities. The ideal candidate will demonstrate strong technical skills—including proficiency in HRIS systems and related software, and a solid understanding of confidentiality, compliance, and collaborative work environments.

Duties

•    Coordinate recruitment activities including job postings, candidate screening, and hiring in compliance with the Human Resources Policies and the Collective Agreement.
•    Lead all onboarding and offboarding processes, including documentation, orientation, training, and IT access coordination.
•    Maintain and review employee records (both electronic and physical) to ensure accuracy and compliance with internal policies, applicable agreements, and relevant employment laws and regulations.
•    Review and verify timesheets, track benefit entitlements and salary anniversaries, and support payroll processing.
•    Liaise with managers and union representatives to support employee lifecycle management, performance issues, and investigations.
•    Coordinate the collection and organization of staff time reporting documents
•    Support interpretation and application of the Human Resources Policies and the Collective Agreement for both HR and Finance teams.
•    Monitor HR-related budget lines and staffing allocations, flag variances, and assist with forecasting.
•    Provide cross-functional administrative support to HR, Finance, and IT, including coverage during staff leaves.
•    Contribute to continuous process improvement in HR operations and systems.

Required Work Capacities:

•    Physical demands: sitting at a desk for computer work (75% of the workday) and meetings

Qualifications:

•    Diploma or degree in Human Resources, Business Administration, Accounting, or a related field; equivalent experience will be considered.
•    2–3 years of HR administration experience, ideally in a unionized environment.
•    Strong understanding of employee recordkeeping, payroll coordination, and HRIS systems.
•    Demonstrated ability to manage large volumes of data with accuracy and attention to detail.
•    Proficiency in Excel and administrative systems; familiarity with HR budgeting and payroll allocations.
•    Strong written and verbal communication skills; able to work independently and collaboratively across departments.
•    High level of discretion with confidential information.
•    Basic understanding of accounting and payroll principles or willingness to learn.
•    Satisfactory Vulnerable Sector Screening within the past six months.
•    Must be authorized to work in Canada.
