The Rent Receivables/Administrative Assistant is responsible for providing administrative support to the Housing Administration team. The position is also responsible for collecting and processing rent from tenants within YWCA Toronto permanent housing program.

 

ABOUT YWCA TORONTO – HOUSING ADMINISTRATION

YWCA Toronto offers a range of housing options for single women and women-led households and gender diverse people, including permanent housing at a variety of locations. Individual and group support assists residents to maintain their housing. On site housing support services provide education on the rights and responsibilities of tenancy, conflict mediation and resolution, crisis prevention and intervention and referrals. Housing Administration is involved in all aspects of Intake, Rent Collection, RGI Calculations and Eviction Prevention.

 

KEY RESPONSIBILITIES

•          Collects rent from all tenants within YWCA Toronto permanent housing program;

•          Responsible for processing rent collected, issue receipts and inputs the information into the YWCA Toronto Arcori database;

•          Notifies tenants, Community Support/Housing Workers and the Eviction Prevention Worker in writing when Non-Sufficient Fund (NSF) cheques or electronic fund transfers are refused and or returned;

•          Prepares bank deposits for rents received from all sites and submits to the Housing Administration Coordinator for review and authorization, then deposits monies;

•          Responds to all general inquiries from staff and tenants regarding rent payments;

•          Monitors and coordinates the purchase of kitchen supplies for Bongard House and kitchen equipment, notifies Property Service when issues arises for Bongard House;

•          Assists the Rent Administrator in completing the N1 Notices (Annual Rent Increases) and mailing the documents to the tenants;

•          Shares front desk reception relief coverage for lunch and breaks on a rotating basis.

 

QUALIFICATIONS

•        General knowledge of an academic or technical discipline normally acquired through completion of a community college diploma (examples: business administration) (Cases for Equivalency will be considered);

•        1-3 years directly related work experience;

•        Demonstrated experience handling, processing and securing cash and cash equivalents;

•        Excellent customer service skills with an ability to maintain a positive approach and a professional manner at all times;

•        Ability to interact with a diverse community of women and children within a housing environment;

•        Understanding of the Residential Tenancies Act, Ontario Human Rights Code, Housing Services Act and Landlord Tenant Board;

•        Experience working with databases an asset;

•        Advanced computer skills in a Windows environment with strong knowledge of Microsoft Office (e.g. Excel, Word, Outlook);

•        Demonstrated excellent organizational and administrative abilities;

•        Ability to respond to multiple requests or service demands;

•        Ability to focus and concentrate on critical tasks to meet established deadlines;

•        Ability to use good judgment and discretion in dealing with confidential information;

•        Excellent oral and written communication required;

•        Knowledge of a second language an asset.

 

Note: Vacation restrictions the first week of every month and year end.
