About Us

The Alberta College of Speech-Language Pathologists and Audiologists (ACSLPA) exists to serve the public interest through the regulation of professional speech-language pathologists and audiologists in Alberta. ACSLPA’s regulatory work includes setting admission standards, considering applications for regulated membership and issuing practice permits, creating and enforcing a Code of Ethics and Standards of Practice, investigating complaints of unprofessional conduct, creating guidelines and practice documents, enforcing continuing competence standards, and more.

General Description

The summer student will assist the Registration team in digitizing paper-based registrant files to support ACSLPA’s transition to electronic records. This role involves preparing documents for scanning, organizing files, and ensuring that scanned records are correctly saved and labeled. The ideal candidate is detail-oriented, organized, and understands the importance of privacy and confidentiality.

Records and Document Management

  • Follow ACSLPA’s internal policy on documentation standards, including proper file storage and confidentiality requirements.
  • Review and prepare physical registration files for scanning.
  • Sort and categorize documents within each file (e.g., application forms, transcripts, correspondence).
  • Scan documents using provided office scanner and ensure image quality.
  • Save each scanned file using defined naming conventions (e.g. “Last name – document type.pdf”).
  • Create individual folders and upload scanned files in ACSLPA SharePoint.
  • Perform quality assurance checks to confirm all pages are captured and readable.
  • Flag inconsistent, incompatible, or ineligible files to the Registration Coordinator.
  • Maintain strict confidentiality and security of all registrant and applicant information.
  • Participate in organizational meetings and collaborate with College staff to ensure completion of project deliverables.

Reporting Requirements

  • Will have daily check-ins with Registration Coordinator to report scanning progress.
  • Immediately report any technical issues or errors that may delay scanning timelines.

Education & Experience

  • High school diploma is required.
  • Preference will be given to those who have completed some post-secondary studies, particularly in the areas of information management, data science, speech-language pathology, or audiology.
  • Previous experience working in an office environment would be an asset.
  • Must speak, read, and write English fluently.

Skills & Abilities

  • Intermediate to advanced knowledge of Microsoft Office 365.
  • Proficient with computer tasks (file naming, folder organization, PDF handling).
  • Familiarity with scanners and office equipment.
  • Strong attention to detail and ability to follow specific procedures.
  • Reliable, organized, and able to work with minimal supervision.
  • Ability to handle confidential information responsibly.
