Remuneration: $12,235 Employment contract
This position is supported by the Canada Summer Jobs program. To be eligible applicants must:
• be between 15 and 30 years of age at the start of the employment
• be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment; and

Reporting to the Program Administration Manager, the Program Coordinator plays a crucial role in delivering programs that fulfill VIFF’s mandate and demonstrate artistic excellence. They support the rollout of year-round screenings and other events at the two-screen VIFF Centre by securing and managing promotional assets and invoices, as well as accurately recording film details in VIFF’s database.
Concurrent with working on VIFF’s year-round programming, they will support the Program Administration Manager with festival activities by providing administrative and on-the-ground support for screenings, talks, and live programming. This includes coordination of green rooms.
Qualifications:
• Exceptional organizational skills.
• Strong written and verbal communication skills.
• Highly focused, and able to work within tight deadlines.
• Adaptable and fast problem solver.
• Experience with database entry an asset.
• Experience in operations or events an asset.
• Fan of the arts and experience working for non-profits an asset.
Key Responsibilities:
Year-Round VIFF Centre Film Program
• Solicit promotional assets for films scheduled to play at the VIFF Centre.
• Perform accurate data entry for FileMaker database.
• Store and name assets appropriately on VIFF’s servers.
• Support the process of creating promotional emails and media releases by ensuring that all relevant support materials are in place.
• Support the proofing process and exporting of data for all collateral, including VIFF’s website and printed calendar.
• Ensure all screenings information is accurate and live on the site.
• Review and send statements to film suppliers.
• Collect invoices from film suppliers and submit them to the business office for payment processing.
Festival Program
• Support the Program Administration Manager with film programming tasks during high volume periods.
• Support the Live and Talks programs and be on the ground support.
• Source green room items and set up green rooms during the festival.
• Available for hosting podcast interviews (if of interest).
• Perform post-screening Q&As (if of interest).
Wrap Reporting
• Submit a final report.
• Update/create manuals.
