About the Organization 

The Canadian Celiac Association (CCA) Edmonton Chapter is a volunteer charitable organization incorporated under the Alberta Societies Act in 1984. The organization advocates for those with celiac disease and gluten sensitivity by providing education, awareness and support programs. 

 

About the Opportunity 

We are seeking an Administrative Assistant to join our team part-time! If you are passionate about making an impact in the community, effective and meaningful communication and providing detail oriented administrative support we hope to hear from you! This opportunity is ideal for someone who is looking to work 6 to 12 hours per week.  

 

Reporting to the President, and working collaboratively with the Program Coordinator (PC), the Administrative Assistant contributes to the success of the CCA Edmonton Chapter’s business activities by contributing to administrative tasks and processes, an effective social media presence, event planning, communication, and record management.  

 

Duties and Responsibilities 

The Administrative Assistant is a vital member of the team, contributing to meaningful and inclusive community relationships with sponsors, donors, and members on behalf of the board and committees. The Administrative Assistant: 

  •  Supports the board and its committees with administrative, clerical and record management tasks 
  • Shares information and responds to queries from the Board, committees, Chapter members and the public 

  • Supports the PC in maintaining and promoting connection with the community through a positive digital presence (i.e., website, Facebook account, and Instagram account) 

  • Supports the Board and the PC in the planning and implementation of CCA Edmonton Chapter programs and events 

  • Supports the PC in developing the quarterly newsletter 

  • Works in collaboration with the Board to develop and enhance administrative processes 

  • Ensures the office, equipment, materials, and supplies are maintained in good working order and available for programs, events, office use, and lease requirements 

  • Liaises and coordinates with the President and Treasurer, ensuring efficient handling of digital documents, physical mail received in the office, and any related business documents (i.e., agreements, expenses, invoices, receipts) 

  • Engages and participates in tenant meetings and events 

  • Supports Board members in preparing for the Annual General Meeting (AGM) 

Requirements 

  • Proficiency using Google Workspace  

  • Experience supporting engagement and effective communication through social media 

  • Experience providing administrative support 

  • Excellent verbal and written communication skills 

  • Self-motivated, results-oriented with strong attention to detail 

  • Demonstrated success working independently and as part of a multidisciplinary team  

 

Assets 

  • Knowledge of Celiac Disease and gluten related disorders, and managing a gluten-free diet 

  • Knowledge of administration of registered charity or not-for-profit operations 

  • Knowledge of donorship and payment platforms (i.e., Square, Zeffy, CanadaHelps, Fundscript) 

  • Experience with Accounts Receivable/Payable and QuickBooks 

  • Knowledge/experience using Canva graphic design software. 

  • Experience effectively utilizing AI to benefit an organization in creating documents, messages and images. 

  • Own a reliable vehicle. NOTE: Nearest bus is approximately 1 km (20-minute walk) away;  Travel may be required to support and participate in CCA Edmonton events. 

Availability 

  • Part-time - average 6 to 12 hours per week 

  • Office hours are Tuesday - Friday, 12:00 to 3:00 p.m. 

  • The Administrative Assistant works onsite in the office. Hybrid work may be available after three months of employment.  

Compensation 

  • $18.00 to $22.00 per hour ($5,616.00 to $13,728.00 per annum) to be determined based on qualifications and experience 

  • Annual review with possible increase determined by proven results and performance
