About the Role
The Manager, Data & Donor Services is responsible for ensuring the integrity, accuracy, and seamless integration of data across all fundraising systems used by the Development and Partnerships team. This role is critical in maintaining a donor centric approach and ensuring best-in-class experiences for supporters across all touchpoints. The Manager oversees gift processing operations and plays a key role in developing and documenting business processes for donor services, including CRM administration, data reporting, and regulatory compliance. This position works closely with the Finance team to reconcile gifts and ensure CRA regulations are adhered to. The Manager also serves as a subject matter expert for fundraising systems, leads data quality initiatives, and supports cross-functional teams with data and reporting needs. This role will focus on systems management, data strategy, and operational excellence as well as leading their team.
What You Will Be Doing
Oversee the management and optimization of all fundraising systems and databases, applying and implementing best practices to data integrity, business rules, and operational workflows
Serve as the lead administrator for CRM and gift processing tools, including Microsoft Dynamics, Customer Insights, Fundraise Up, AKA Raisin, and FreshDesk
Develop and maintain accurate documentation and procedures for all data systems and processes
Ensure gift processing is timely and accurate, across channels including credit card, cheque, online donations, recurring gifts, pledges, third-party platforms (e.g., CanadaHelps), bequests, and in-kind gifts
Collaborate with the Finance team to ensure regulatory compliance (CRA), complete monthly reconciliation of gifts between systems, quarterly redistribution of funds to the food bank network, and assisting on audit preparation.
Maintain up-to-date knowledge of CRA regulations and ensure compliance across all donor transactions and tax receipting
Develop and execute reports to support fundraising and decision-making across the Development and Partnerships team using data tools such as Power BI
Provide data analysis and operational support to the Development and Partnerships team for annual giving, employee giving, and other fundraising initiatives
Define, document, and monitor business rules related to donor data, tax receipting, and constituent services
Support the Officer, Data & Gift Processing with training and troubleshooting for internal users of fundraising systems
Provide recommendations regarding the procurement, implementation, and enhancement of fundraising technologies
Foster a donor-first mindset, ensuring that all systems and services enhance the supporter experience
Promote a culture that is donor-centric, where requests from internal and external stakeholders are responded to with a high degree of urgency, professionalism, and accuracy
Supervise and provide guidance to direct reports to ensure consistent and high-quality execution of core functions
Ensure compliance with policies and procedures to support ethical and successful fundraising practices
Other duties as assigned
What You Will Need
Completion of an undergraduate degree or equivalent
Minimum 4 years’ experience managing databases and fundraising systems
Experience transitioning a department to a new technology platform or integrating new technologies
Experience leading, developing and supporting a team
Experience training staff on database use
Experience working in a collaborative and cross-functional team environment
Raiser’s Edge bCRE or RE Fundamentals Certification an asset
High proficiency with Donor CRM platforms – Microsoft Dynamics, Fundraise Up preferred
Proficiency with third party fundraising platforms such as AKA Raisin, CanadaHelps, Benevity would be considered an asset
Proficiency with Power BI Reporting or other reporting software
Knowledge of fundraising practices, procedures, basic accounting and CRA guidelines
Deep knowledge and practice around the Donor Bill of Rights, PIPEDA and CASL
High data-entry skills and well-versed in Microsoft Excel and Word
Demonstrated ability to prioritize work, manage deliverables and handle multiple tasks simultaneously in a fast-paced environment
Great attention to detail; highly organized, curious and systematic
Effective interpersonal skills and success in working in a team environment
Committed to organizational mission of reducing hunger
Bilingualism (English/French) is an asset
Working Conditions
Full-time, Monday-Friday, with occasional evening and weekend work
This position is remote and may be based anywhere in Canada
