Position Title: Member Services and Events Coordinator
Location: Flexible within Alberta (Edmonton or Calgary area preferred)
Start Date: September 2, 2025
Term: Temporary 7-month position (September 1, 2025 – March 31, 2026)
Hours: 35 hours per week
Salary: $47,019 to $64,740 annually

The Alberta Recreation and Parks Association (ARPA) is a provincial not-for-profit organization dedicated to fostering healthy citizens, communities and environments and advancing the growth and development of the recreation and parks sector in Alberta. We provide information, programs, services and professional development to communities and our members.
As a key member of the ARPA team, and reporting to the Communications and Member Services Manager, the Member Services and Events Coordinator is responsible for coordinating and supporting the member services portfolio including the association management software (AMS) as well as education and events. The ideal candidate is someone who is passionate about recreation and parks, is a creative thinker, great at attention to detail, good at problem solving, and is excited about providing excellent customer service and support to members.
Duties and Responsibilities:
Association Management Software (AMS)
Serve as the primary point of contact for member inquiries, providing timely and professional support via email, phone, and online portals.
coordinate member accounts within the Association Management Software (AMS), including new member onboarding, renewals, contact updates, and troubleshooting.
Maintain accurate and up-to-date membership records, ensuring data integrity and consistency across the AMS.
Support membership recruitment and retention efforts by monitoring lapses, sending renewal reminders, and assisting with automated workflows.
Generate reports and dashboards from the AMS to track membership trends, engagement metrics, and dues revenue.
Collaborate with the communications team to distribute newsletters, event announcements, and membership campaigns through the AMS.
Assist with event registrations, confirmations, and payments using the AMS event module; support members with registration issues.
Increase member engagement within the AMS through the use of all available features
Design, implement and maintain education credit tracking as it relates to members
Education and Event Planning and Development
Support the design and delivery of educational programs, professional development events and certification initiatives tailored to sector needs.
Coordinate and provide event planning and logistics support for conferences, webinars, and other educational events, including major properties such as the ARPA Conference, Parks School/Forums, and Leaders Summit.
Support technology and software required for education and events.
Collaborate with staff, contractors, and volunteers on event logistics and content.
Work within event budgets, track expenses, and provide regular financial updates.
Develop evaluation processes to gather participant feedback, evaluate program success, and implement improvements.
Maintain accurate records for events, including registrations and evaluations.
Coordinate and support volunteer committees related to event execution.
Offer guidance and support for additional Association events.
Volunteer Coordination
Implement volunteer recruitment, onboarding, and retention strategies.
Assist with the delivery of orientation and training sessions to equip volunteers for success.
Assist volunteer recognition initiatives to foster engagement and appreciation.
Work with program and event teams to identify volunteer needs and define roles.
Awards & Scholarships
Support ARPA’s annual Awards and Scholarships program, including nominations, marketing, adjudication, and event planning.
Support relevant volunteer committees and maintain communication with applicants and nominees.
Business Development.
Assist with the identification of new business opportunities through market research and networking.
Implement retention strategies to maintain long-term sponsor relationships.
Maintain an inventory of sponsorship benefits and ensure delivery of all entitlements.
Draft and monitor sponsorship contracts and track fulfillment of all agreement terms.
Support the Team
Provide support to other Association events. Duties would include script preparation, speaking notes, publication and web design and development and event app oversight and communications support for presentations.
Organization Based Allyship
Support Reconciliation and allyship related activities undertaken by ARPA and its programs and events.
Support and participate in Equity, Diversity, Inclusion and Decolonization (EDID) learning opportunities for staff, members, and volunteers.
Qualifications, Skills, and Abilities:
Post-secondary degree or diploma in recreation administration, event planning and coordination, business or equivalent experience
Minimum 2 years of demonstrated experience related to the duties of the position is required
Experience with event coordination would be requirement.
Knowledge of Association Management Software (AMS) and database would be an asset
Strong interpersonal, written and verbal communication skills are required
Ability to work effectively as part of a multidisciplinary team and independently, with little supervision
Strong project and time management skills, and the ability to work on multiple concurrent projects and drive each towards realization
Strong computer skills including CRM databases, word processing, internet research, Gmail, videoconferencing technology such as Zoom
Must have good attention to detail, accuracy and proofreading skills
Interest and enthusiasm for work in the nonprofit sector and passion for recreation and parks and improving the quality of life for everyone
Ability to prepare and maintain reports, presentations, correspondence and other related materials
Ability to accommodate occasional work outside of typical business hours and travel within Alberta
