We are seeking a proactive, organized, and creative Communication Specialist and Executive Support who will lead our communications efforts, ensure brand consistency, keep the website up to date, assist with fundraising initiatives, and provide high-level administrative support to the Executive Director.

Job Summary
This multifaceted role combines responsibility for all external communications—including brand voice, digital content, and graphic design—with executive administrative support. The ideal candidate demonstrates excellent writing and design skills, digital expertise, and strong organizational ability for supporting executive operations and mission-driven initiatives. The ability to shift seamlessly with ever-changing priorities and handle multiple projects simultaneously is essential for success in this role.
Key Responsibilities
Communications & Brand Management
• Develop and disseminate internal and external communications, including newsletters, announcements, and email campaigns.
• Craft and maintain the organization’s brand voice and ensure consistency across all written and visual materials.
• Create and manage engaging content for social media, the website, newsletters, and other communications channels.
• Design simple graphics and visual materials for use in communications, social media, and fundraising.
• Collaborate with staff to promote organizational initiatives.
• Analyze communications performance (e.g., social, web, email metrics) and recommend improvements.
Website Management
• Keep the organization's website up to date with current content, news, events, and relevant information.
• Coordinate updates and maintenance with IT or web development support as needed.
• Ensure content accuracy, brand consistency, and functionality across devices.
Fundraising Support
• Lead or assist in the planning and execution of fundraising campaigns and events.
• Prepare fundraising materials such as application letters, newsletters, and social media campaigns.
• Design visual content to support fundraising efforts, including event invitations and promotional graphics.
• Coordinate communication with donors and supporters as needed.
• Track donations, event attendance, and other fundraising metrics.
Executive Support
• Manage and maintain the Executive Director’s calendars, including scheduling meetings, appointments, and travel arrangements.
• Prepare for meetings by organizing agendas, materials, and necessary equipment.
• Prepare, edit, and distribute correspondence, presentations, and reports.
• Handle incoming communications such as emails and phone calls, prioritizing and responding as appropriate.
• Organize meetings and coordinate logistics, including preparing meeting agendas and materials.
• Maintain confidentiality of sensitive information and handle all tasks with discretion.
• Assist with expense report preparation and other administrative tasks to support efficient executive operations.
Qualifications
• Proven experience in communications, marketing, digital content, or a related field, ideally with experience in executive support or office administration.
• Demonstrated flexibility and ability to adapt to shifting organizational and project priorities.
• Strong written and verbal communication skills with attention to brand standards and messaging.
• Experience or proficiency with graphic design tools (e.g., Canva, Adobe Creative Suite) and website content management systems (CMS).
• Ability to manage internal and external communications across multiple platforms.
• Familiarity with fundraising principles and event support is an asset.
• Excellent organizational, multitasking, and time management skills.
• Ability to maintain confidentiality and exercise discretion.
• Proficiency with Microsoft Office Suite and social media management tools.
• Ability to work independently and collaboratively in a fast-paced, dynamic environment.
Working Conditions
• Full-time position, approximately 36.25 hours per week.
• May require occasional evening or weekend work for events or urgent executive needs.
• Primarily office-based with options for remote work depending on organizational policies.
• Physically able to meet the requirements of the job including some lifting of audio-visual equipment, display boards and the like.
• A satisfactory Criminal Records Check and Child/Youth Check.
