Purpose
As the Coordinator of Stakeholder Engagement, you will amplify the fundraising and partnership development efforts of our President & CEO and management team by providing essential administrative and coordination support. You will champion our CRM system, building out the data and encouraging use so that this becomes a reliable foundation for stakeholder tracking and coordination. You’ll have the chance to work closely with the most senior leaders in our organization to provide partnership development support through research, material development, setting up meetings, and coordinating activities across teams.
This role is for you if you’re meticulous and detailed oriented, proactive, highly professional in outward communications, and are energized by the prospect of supporting our leaders to focus their time on high-impact relationship building and strategic conversations with funders and partners.
What You'll Do
CRM Data and Coordination [30%]
- Become the go-to person on the team for our Airtable-based CRM system, supporting efforts to have this be our source-of-truth across the organization for stakeholder engagement coordination and decision-making.
- Gather information through meetings, emails, or other interactions and use that to populate and update stakeholder and interaction records in the CRM.
- Conduct regular data clean-up, verification, and enhancement to support reliable stakeholder tracking and reporting.
- Create and curate targeted lists for outreach campaigns, events, and strategic initiatives.
- Generate reports and dashboards that provide actionable insights for fundraising and partnership development.
- Support system improvements and optimizations based on user feedback and organizational needs.
- Champion use of the CRM across Generate Canada and our Solution Spaces, including providing training and creating tactics to encourage use.
Fundraising and Partnership Support [30%]
- Provide comprehensive research and background preparation for stakeholder meetings, including prospect research, organizational profiles, and strategic briefing materials.
- Coordinate proposal development processes, including research, data gathering, formatting, and light writing or content assembly.
- Support our President & CEO and members of the management team to set-up and high-impact interactions with prospects and partners, through setting up meetings, providing materials, and ensuring timely and professional communication.
- Maintain overall timelines and task tracking related to fundraising and partnership development for the President & CEO and management team.
- Assist with preparation of reports and partnership materials.
Cross-Organizational Coordination [10%]
- Provide administrative support to Generate Canada's Fundraising & Partnership Committee, including meeting coordination, materials preparation on behalf of the President & CEO, and follow-up tracking.
- Regularly gather information from Solution Spaces in a way that supports coordination and avoids overlap of fundraising and partnership development activities.
- Maintain shared resources and templates that support consistent, professional outreach across the organization.
Event and Engagement Support [20%]
- Provide logistical support for virtual and in-person stakeholder events, meetings, and presentations.
- Assist with preparation of materials for conferences, partner meetings, and fundraising events.
- Support limited travel coordination and event logistics as needed.
Administrative Excellence [10%]
- Maintain organized filing systems for partnership and fundraising documentation.
- Support general administrative tasks that enhance the effectiveness of senior leadership.
- Support the finance team in having a detailed record of all funding contracts and related obligations for expense allocation and reporting.
- Contribute to process improvements that streamline stakeholder engagement workflows, working with the Director of Operations and Sr. Manager of Finance.

Essential Qualifications
- 2-4 years of experience in administrative support, project coordination, or similar roles.
- Some experience with database management and/or CRM systems; experience with Airtable or similar platforms would be ideal.
- Excellent research skills with ability to gather, synthesize, and present information clearly.
- Experience with Google Workspace and project management tools like ClickUp or Asana.
- Strong written and verbal communication skills with attention to professional presentation.
- Demonstrated attention to detail.
- Proven ability to manage multiple priorities and deadlines in a fast-paced environment.
- Self-starter with ability to work independently and take initiative.
Preferred Qualifications
- Experience in nonprofit organizations, in particular in fundraising or partnership coordination.
- Experience with proposal writing or grant application processes.
- Basic understanding of donor stewardship and relationship management principles.
- Event planning or coordination experience.
- Experience supporting senior leaders or executives.
