Job Summary:

The Board Liaison and Executive Assistant is a key support person between the Central Executive Officer (CEO), the Central Operations Officer (COO), the agency and the community. This role includes not only representing the interests of the CEO but also supports planning and preparing for committees and meetings and coordinating the work of a number of different agency and/or community stakeholders. The Board Liaison and Executive Assistant also supports the governance work of the Board of Directors and the Leadership team as required.

Your Role:

Archway’s Board Liaison and Executive Assistant with Administration contributes by:

•         Recording minutes and disseminating information in an accurate and timely manner.

•         Compiling and distributing materials to the Board of Directors.

•         Ensuring all Board Society Filings are complete and filed.

•         Drafting reports, memos, presentations, and other documents using Office 365, Prezi and Canva.

•         Communicating with the CEO and other staff leaders on a daily basis to debrief ongoing and upcoming tasks and track changes.

•         Coordinating administrative tasks such as organizing meetings, invitations, agendas, and taking minutes.

•         Supporting the CEO and COO with organizing their calendars including booking appointments, and travel arrangements.

•         Arranging all aspects of Board, Committee and Leadership team meetings, including coordinating and arranging supplies, food, and venue for meetings and events, and setting up meeting space.

•         Ensuring all necessary equipment, technology, rooms, and supplies, etc. are available for meetings and in working order prior to the meeting.

•         Preparing and/or editing professional internal and external correspondence.

•         Assisting with updating agency documentation for grant applications.

•         Receiving, reviewing and disseminating information on grant opportunities and BC Bids to appropriate department, program or staff member. 

 

 

•         Providing support and compiling information for various administrative processes and projects including but not limited to:

o   Commission on Accreditation of Rehabilitation Facilities (CARF) Accreditation

o   Business Function Performance Measurement

o   Strategic Plan

o   Quarterly Outcomes Reporting

o   Critical Incident Reporting

Getting an Interview – you will be considered if you have:

•         Post Secondary Certificate in Business Administration, Office Administration or a related field is an asset.

•         A minimum of 5 years’ experience in an administrative role.

•         A minimum of 2 years’ experience supporting an Executive.

•         A minimum of 2 years’ experience supporting a Board of Directors and committees.

•         A minimum of 1 year experience in a non-profit setting, in either a volunteer or paid capacity.

The Job Requires you to have:

•         Strong written, verbal, and active listening skills, able to communicate respectfully and effectively with people from a variety of backgrounds.

•         Coachable, open to new learning and new ideas.

•         Able to clearly communicate ideas for continuous improvement.

•         Attention to detail.

•         Strong service orientation.

•         Strong planning, organizing, and time management skills; able to manage competing priorities and meet deadlines.

 

•         Well-developed knowledge of office procedures and practices.

•         Strong computer competency, able to use Microsoft Office 365 particularly Word, Outlook, Excel, and PowerPoint as well as virtual meeting platforms including Microsoft Teams,

•         Able to type 60 WPM with a high degree of accuracy.

•         Well-developed ability to switch-task in a busy environment.

•         Able to use critical thinking to solve unexpected problems.

•         Strong organizational and time management skills; able to balance and manage competing projects and priorities.

•         Understanding of Archway's purpose, mission, vision, and values.

•         Skilled in being able to efficiently prioritize workload to respond to changing conditions, deadlines, and priorities.

•         Able to maintain discretion and work with a high level of privacy and confidentiality. 

•         Strong problem solving and critical thinking skills.

•         Available to work flexible hours including evenings, and some weekends as required.

•         Interruptions are common, a well-developed ability to switch-task in a busy environment is important.

•       This position has extended periods of sitting and screen/keyboard use.

•         The use of a personal vehicle may be required for program-related driving; must be able to be insured according to Archway’s transportation policy.

•         Valid BC Driver's License

•         A satisfactory Criminal Records Check is a condition of employment.
