Operations Coordinator

Hours: Up to 15 hours per week

Schedule: In-person Mondays & Wednesdays, 10 am–2 pm at Story Planet; remaining hours flexible

Compensation: $28/hour


For over 14 years, Story Planet has been helping kids discover the joy and power of their own voices through free, arts-based writing programs. We work with children who face barriers to learning and limited access to creative enrichment programming, building literacy skills and confidence in self-expression.

We’re excited to welcome an Operations Coordinator to our small but mighty team! If you’re highly organized, detail-loving, and energized by supporting both creative programs and the behind-the-scenes systems that keep them running, this could be the perfect role for you.

Key Responsibilities

HR Support

  • Post job descriptions and manage applications for internships and volunteer roles.

  • Communicate with applicants and oversee application tracking.

  • Support staff recruitment: post openings, manage applicants, and schedule interviews.

  • Oversee onboarding for staff, interns, and volunteers, including paperwork, police checks, and maintaining HR records.

Office & Finance Support

  • Manage day-to-day facility needs (printer lease, utilities, supplies, insurance, bills).

  • Monitor and respond to inquiries in the email account.

  • Support monthly contractor payments: receive invoices, review them, and request revisions when necessary before forwarding for payment.

Additional Support

  • Collect, log, and scan evaluations and media releases from programs.

  • Assist with reporting and other administrative projects as needed.

  • Support scheduling of meetings for the team.

Qualifications

  • Superb organizational and administrative skills.

  • Excellent written and verbal communication.

  • Ability to adapt and be flexible when needs and priorities change. 

  • Ability to manage multiple tasks independently while maintaining attention to detail.

  • Comfort with digital tools (Google Workspace, email systems, Monday.com).

Details

  • Hours: Up to 15 hours/week. In-person at Story Planet’s office on Mondays & Wednesdays, 10 am – 2 pm, with remaining hours flexible/remotely.

  • Pay: $28/hour, invoiced monthly.

  • Please note: Because Story Planet runs programs primarily in schools, school breaks are often quieter times for us. 

  • Reports to: Executive Director.
