What You’ll Do:
• Create a Welcoming Environment: Serve as the first point of contact for the TMSU office, greeting members and visitors, answering inquiries, and maintaining an organized, professional front office.
• Operational Support: Manage communication systems, maintain directories, and streamline internal office systems including filing, databases and archives.
• Administrative Coordination: Approve and organize office postings, oversee the processing of mail, arrange couriers and ensure supplies are available for staff and directors.
• Event and Meeting Logistics: Assist with planning and supporting Board and committee meetings, general membership meetings, and retreats, including minute-taking and agenda preparation as Secretary of the Board.
• Staff Scheduling: Coordinate scheduling for front desk staff, track part-time staff hours, and assist with administrative aspects of work-study and employment programs.
• Contract and Policy Process: Conduct RFPs for new agreements; provide feedback on contracts; assist management with bylaw, policy, and constitutional matters.
• Equipment Oversight: Maintain office equipment, coordinate repairs, and manage related vendor relationships.
• Membership Outreach: Support campaigns and events, help with recruitment, and contribute to TMSU‘s marketing and promotional activities.
• Election Support: In conjunction with management, hire and supervise the Chief Returning Officer for TMSU general elections, advise on elections and referenda.
• Space Booking: Process Space requests and liaise with the university on booking matters.
• Other Duties: Address additional organizational needs and provide support to the Executive Director and Management as required.
Education, Training, Skills & Experience
The ideal candidate will have:
• Education: Postsecondary degree or diploma in Office Administration, Business, Community Development or a related field.
• Experience: Minimum 2 years in a coordinating or administrative support role – preferably in a unionized, non-profit, or student-focused organization.
Skills:
o Superior organizational and time management skills.
o Strong written and verbal communication.
o Ability to work independently and collaboratively within diverse teams.
o Comfortable using office software, managing databases, and handling records.
o Discretion and commitment to maintaining confidentiality.
Attributes:
o Friendly, approachable and resourceful.
o Passion for supporting students, member engagement and inclusive practices.
o Adaptable and committed to organizational improvement.
Start Date: How soon can you start?
Hours/Week: Full-time, 40 hours/week, unionized position (CUPE)
Location: On-campus, with possible hybrid flexibility coordinated with TMSU management.
