Job Title: Intake Attendant – Wellspring Pre-program
Reports to: Program Manager
Hours: 48 hours/week (12-hour shift, 4 nights on – 4 nights off; 8:00 pm – 8:00 am)

Job Summary
The Intake Attendant serves as a key initial point of contact for clients in the Wellspring Program. They are responsible for building and maintaining relationships with clients, ensuring adherence to house policies, and coordinating intake and overnight support functions.
Major Duties & Responsibilities
Team & Community Building
- Maintain and relay accurate information to staff members and clients.
- Collaborate effectively to solve issues as they arise.
Medication Administration
- Administer medications nightly between 8:30PM and 9:30PM
- Secure and maintain the medication cabinet.
- Communicate and document medication information with the pharmacy as required.
- Distribute medications to clients and manage PRNs as needed.
- Update clients’ records in ETO (Efforts to Outcome) when medication changes occur.
Safety & Oversight
- Conduct regular checks of rooms and facility floors, including all entrances and exits and verify that all clients are accounted for (e.g., gently knock on room doors and enter to confirm bed status, perform at 10 pm).
- Assist with random drug and alcohol testing, communicate results for the respective Case Manager and the team.
- Maintain confidentiality at all times.
- Ensure clear communication with staff and facilities regarding safety matters.
- Utilize non-violent crisis intervention strategies and provide first aid as needed.
- Monitor security cameras.
- Close the TV room at 10:00 pm on weekdays and weekends.
Client Intake
- Welcome and support new clients.
- Complete the intake process for clients whose intake was not finalized by day staff.
Support for Women in Recovery
- Build rapport with clients through active listening, counselling, and prayer.
- Assist in program delivery as required.
Administrative Tasks
- Supervise client chores and ensure clients are adhering to house policies.
- Enter client-related information into ETO for admissions and intake.
- Monitor emails for updates on the day’s proceedings.
- Review minutes of meetings (e.g., team meetings, house meetings) to remain aware and updated.
- Update the intake office’s white-board calendar with client information.
- Complete any unfinished tasks from the morning shift (for example: paperwork completion, disposing of stale pastries/bread in the refrigerator, storing received kitchen and bargain shop items properly).
- Shred outdated documents in the designated blue bin.
- Upload all clients’ MAR (Medication Administration Record) sheets into ETO at the end of each month and file physical copies in clients’ files.
- Check current files for missing signatures or forms; organize the files and notify day staff immediately via email.
- Complete occurrence reports (OR) when necessary — e.g., when a client is sent to hospital, relapses, or any unusual activity needs documentation. (Note: Use page 2 and save as draft.)
- Discharge clients in ETO when they relapse, decide to leave the program, or are admitted to hospital.
Other Tasks
- Pack and clean clients’ rooms after discharge or when they leave the program.
- Clean and sanitize the intake office.
- Organize the pantry cabinets, case-management room shelves, storage beside the Bible room, cabinet in the laundry room, and the electrical room.
Educational Requirements
- Degree in Social Sciences, Nursing, Pastoral Studies, or a related field.
Minimum Qualifications & Skills
- Strong analytical skills and sound judgment.
- Excellent verbal and written communication skills.
- Outstanding interpersonal skills, with the ability to interact effectively with a wide variety of individuals.
- Leadership capability: able to lead, manage, and mentor a small team.
- Working knowledge of ETO (Efforts to Outcome) is an asset.
- Intermediate proficiency in Microsoft Office programs.

- Able to provide Criminal Record Check with a Vulnerable Sector Search and a Child Intervention Record Check
- A letter of reference from a ministry or church is an asset
