Intake Manager
Children’s Autism Services of Edmonton
Children’s Autism Services of Edmonton is seeking a dedicated and highly organized Intake Manager to lead our Intake team and help families access the services and support they need. This role is ideal for someone with strong leadership skills, exceptional customer service abilities, and a passion for supporting children and families with diverse needs.
Reporting to the Director of Clinical Services, the Intake Manager will oversee intake processes across programs, provide supervision to the Intake team, and act as a Service Navigator when needed. This is a key leadership role that ensures families receive timely, accurate, and compassionate guidance from their first point of contact with our organization.
Key Responsibilities
Leadership & Team Support
Supervise the Intake team, including Intake Supervisors, Workers, and Administrators.
Support staff development through training, mentoring, and professional growth opportunities.
Coordinate team meetings, learning opportunities, and contribute to program development.
Address staff concerns, mediate conflict, and support organizational goals and initiatives.
Participate in internal leadership groups such as the Leadership Team and Collaborative Leadership Projects Team.
Intake & Service Navigation
Receive and organize client referrals via email, phone, or in person.
Respond to inquiries within two business days and provide exceptional customer service.
Guide parents and caregivers through next steps, including internal services, external resources, and funding options.
Persuade potential clients to choose our services through effective communication and sales techniques.
Conduct intake appointments (in-home, in-centre, or virtual) and collect required client information.
Prepare service contracts, budgets, agreements, consent forms, and funder documentation.
Support caseload assignments, initial scheduling, and successful handoffs to clinical teams.
Track service confirmations, start/end dates, and approvals from funders.
Maintain accurate client databases and oversee quality assurance processes.
Collect feedback and assist in preparing reports, projections, and statistics for leadership.
Administrative & Community Engagement
Assist with onboarding new staff and participate in staff meetings and training.
Promote Children’s Autism Services at community events and serve as an ambassador for our programs.
Participate in the Children’s Autism Community Team (CACT) and other community initiatives.
Perform clerical tasks and support day-to-day operations as required.
Attend annual professional development opportunities, including the Autism Conference.
Qualifications
Excellent sales and customer service skills.
Strong organizational, time management, interpersonal, and communication skills.
Proficient computer skills with a willingness to learn new software and systems.
Ability to work collaboratively in a fast-paced, transdisciplinary environment.
Ability to speak multiple languages is considered an asset.
Post-secondary education in child development or a related field, or relevant experience.
Commitment to supporting families of children with special needs.
Valid driver’s license with business use insurance and the ability to meet clients in their homes.
Successful Police Information Check (Vulnerable Sector), Child Welfare Check, First Aid with CPR-C, and Safe Management (or equivalent).
