Position Summary 
 
The Operations Coordinator is a newly created position at The Children’s Book Bank, designed to support our expanding programs and organizational growth. This position supports administrative responsibilities, communications, and oversees assigned tasks. The Operations Coordinator also contributes to fundraising initiatives, donor engagement, and event support, helping to strengthen relationships with supporters and the community. The role works closely with internal teams to support day-to-day operations, maintain organizational systems, and advance The Children’s Book Bank’s mission to provide children and families with access to books and foster a lifelong love of reading. 
 
Key Responsibilities 
 

Executive Support 

  • Manage calendars, meetings, and correspondence for the Executive Director, keeping leadership organized and informed. 

  • Prepare materials for board and committee meetings, including agendas, briefing notes, and minutes, ensuring smooth and efficient decision-making. 

  • Draft correspondence, reports, and presentations to maintain professional and clear communication as requested. 

  • Track follow-ups and action items, ensuring commitments are completed on time. 
     

Operations Support 

  • Maintain accurate, organized, and accessible records, files, and organizational documents to ensure smooth day-to-day operations. 

  • Assist the Senior Operations Manager with vendor communications, inventory management, and coordination of logistical needs. 

  • Coordinate and organize materials to support the Executive Director and Senior Operations Manager in daily operations. 

  • Coordinate office systems, workflows, and processes to enhance efficiency and team productivity. 

  • Provide general administrative support, including responding to inquiries, and supporting cross-team operational needs. 
     

Fundraising & Donor Engagement 

  • Support donor relations by preparing acknowledgment letters, tax receipts, and appreciation communications. 

  • Assist with the planning and coordination of fundraising events and community campaigns. 

  • Support donor and fundraising records accurately in the CRM system, keeping information up to date. 

 
Qualifications 

  • Post-secondary diploma or degree. 

  • 1 year + experience in customer service. 

  • Experience working with diverse communities and an understanding of equity, inclusion, and cultural responsiveness. 

  • Strong writing, proofreading, and communication skills. 

  • Highly organized, detail-oriented, and capable of supporting multiple priorities independently. 

  • Comfortable using and learning technology systems and digital communication tools. 

  • Ability to work occasional evenings or weekends to support events and initiatives across the GTA.
