Division: Integrated Services for Newcomers

Program: Wellness and Active Communities

Employment Type: Temporary Full-Time (35 hours per week), this position is expected to end on April 10, 2026

About the Position:

The Program Assistant (PA) provides administrative support, completes purchases, requisitions and answers enquiries pertaining to programs under the mandate of Wellness and Active Communities Divison.  The PA contributes to the delivery of programs and services that supports the community, especially seniors and members of S.U.C.C.E.S.S.

Reports to: Program Director

Key Duties and Responsibilities:

  • Assists with the implementation of program activities under the management of Wellness and Active Communities Division  
  • Performs administrative tasks such as filing and data entry 
  • Processes purchase orders and keeps clear documentation 
  • Handles program enquiries through email and by phone  
  • Compiles data and statistics  
  • Supports team members to ensure program deliverables and objectives are met 
  • Delegates and schedules work to volunteers as applicable 
  • Performs other related tasks as assigned by Senior Manager 



Education, Training and Experience:

  • Diploma in office administration or related education/experience 
  • Experience in working in non-profit organizations 
  • Experience in working with PO systems an asset 
  • Experience in working with immigrants, volunteers and seniors an asset 
  • First Aid Certificate an asset 



Job Skills and Abilities:

  • Excellent verbal and written communication skills  
  • Additional languages considered an asset 
  • Excellent attention to detail skills 
  • Excellent numerical skills 
  • Excellent computer skills (e.g. MS Office suite)   
  • Excellent team player with ability to work independently 
  • Ability to prioritize and multi-task 
  • Ability to perform well under pressure to meet deadlines

  • Work on weekends and evenings may be required
