If you’ve worked as an office clerk or in office operations, you know how much depends on the basics being done well. Mail arriving and leaving on time. Supplies stocked. Shared spaces looked after. Files where they should be. When those things run smoothly, everyone else can do their jobs.
ACTRA National is looking for an Office Operations Coordinator (Office Clerk) to support our Operations teams. This is a hands-on, in-office role focused on day-to-day office and facilities operations. It suits someone who takes pride in keeping a workplace organized, functional, and ready for whatever the day brings.
This role is less about sitting behind a desk and more about being present in the office. Moving between tasks, responding to needs as they come up, and making sure nothing important gets missed.
What You’ll Be Known For:
Day-to-day office operations
Handling incoming and outgoing mail and couriers; ensuring performers' cheques reach their destinations; distributing forms and agreements; and maintaining office routines.
Office supplies and inventory
Keeping supplies stocked while staying within budget, planning for peak periods, and making sure storage areas are organized and accessible.
Facilities and shared spaces
Supporting kitchen upkeep, coordinating maintenance schedules, and working with vendors to ensure services are delivered as expected.
Records and filing
Sorting, labelling, archiving, and maintaining files and logs so information is easy to find and kept up to date.
Support for HR Operations and Finance
Assisting with clerical tasks, preparing reports, maintaining procedure guides, new employee onboarding support and process improvements where needed.
Support for leaders and teams
Providing clerical and reporting support to the Manager and other leaders, and assisting other teams with ad hoc tasks and projects
Relationships and communication
Working closely with national and branch staff, vendors, and members, and serving as a reliable point of contact for day-to-day coordination.
Practical improvements
Noticing what could work better and suggesting small, realistic changes that improve how the office runs.

Compensation: $63,297.00 per year.
