Based at: CarePoint Wellness Centre - 14830 124th Ave NW, Edmonton

Reports to: Senior Manager of Development and Communications

Hours of work: Monday – Friday, 8-hour shifts

Start date: Immediate

Status: Full Time

Job Summary:

The Executive Assistant of Development and Communications provides high-level administrative and operational support to the Senior Manager and team, ensuring smooth day-to-day operations and effective communication across the organization. This role is critical in helping the non-profit achieve its mission by supporting strategic initiatives, managing administrative tasks, helping plan fundraising events, and fostering strong relationships with stakeholders.

Major Duties and Responsibilities:

  • Manage the Senior Manager's calendar, schedule meetings, and coordinate travel arrangements.
  • Prepare and edit correspondence, reports, grant documents, and presentations.
  • Serve as a primary point of contact for staff and various stakeholders.
  • Monitor and prioritize incoming emails, calls, and requests, responding on behalf of the Senior Manager when appropriate.
  • Support special projects, research, and program initiatives as needed.
  • Assist Volunteer Coordinator in processing applications during busy seasons
  • Maintain accurate records and filing systems
  • Other duties as assigned

Minimum Qualifications and Skills:

  • 2+ years of previous experience as an Executive Assistant or in a similar administrative role, ideally in a non-profit setting.
  • Proficient in Microsoft Office Suite 
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities with attention to detail.
  • High level of discretion and professionalism.
  • Passion for the organization’s mission and values.
  • High level of discernment and ability to prioritize tasks and incoming requests.
  • Demonstrated ability to handle confidential and sensitive information with the utmost discretion and integrity.

Preferred Skills:

  • Experience supporting fundraising and development activities.
  • Knowledge of non-profit governance and community engagement.
  • Ability to work independently and collaboratively in a mission-driven environment.
  • Exceptional interpersonal skills.

  • Must be legally entitled to work in Canada on a full-time basis.
  • Able to provide Criminal Record Check and Vulnerable Sector Search
  • A letter of reference from a ministry or church is an asset
