Job purpose

A versatile Administrative Assistant to support the smooth running of our office. This role combines reception duties, office administration, HR support, and occupational health and safety oversight. You’ll be the friendly first point of contact and the go-to person behind the scenes.

Key Duties and Responsibilities:
Office Administration:

  • Coordinate day-to-day office operations to ensure efficiency and a well-functioning workplace.
  • Perform general clerical duties, including data entry filing, scanning, copying, document preparation, and handling correspondence.
  • Oversee office inventory by tracking supplies, monitoring stock levels, and coordinating replenishment as needed.
  • Manage office supplies, equipment, and vendor relationships.
  • Coordinate office layout, maintenance, and improvements.
  • Be the point of contact for IT and troubleshoot basic system issues
  • Work with the custodian to complete the facility operational requirements

Human Resources Support:

  • Act as a first point of contact for HR matters.
  • Assist in recruitment processes, onboarding, and offboarding.
  • Maintain employee records and HR databases.
  • Support employee engagement initiatives and internal communications.
  • Assist with performance management processes and staff development activities.

Occupational Health and Safety (OHS):

  • Conduct regular safety inspections and risk assessments.
  • Maintain and update workplace safety procedures and documentation.
  • Coordinate staff training on health, safety, and emergency procedures.

Qualifications and Skills:

  • Diploma or degree in Business Administration, Human Resources, or a related field.
  • Certification in Occupational Health and Safety (OHS) is an advantage.
  • Experience in a similar office environment with multiple responsibilities.
  • Proven experience in office administration, data entry, HR support, or related roles.
  • Knowledge of occupational health and safety standards and best practices.
  • Strong organizational, communication, and interpersonal skills.
  • Proficiency in office software (MS Office, Google Workspace, HRIS systems).
  • Ability to handle confidential information with discretion.
  • French-speaking (written and verbal) is an asset.
