Job Title: Executive Assistant

Based in: Edmonton

Reports to: Director of Women’s Programs and Recovery

Hours of work: Monday – Friday, 8-hour shifts

Start date: Immediate

Status: Full Time

Job Summary:

The Executive Assistant provides high-level administrative, operational, and organizational support to ensure smooth day-to-day operations across departments and strategic initiatives. This role blends traditional executive-level support with broader administrative coordination functions. The ideal candidate is detail-oriented, organized, personable, tech-savvy, and committed to supporting a mission-driven Christian non-profit environment

Major Duties and Responsibilities:

  • Manage calendars, coordinate meetings, and oversee scheduling logistics.
  • Prepare, edit, and format correspondence, reports, presentations, and grant documents.
  • Prioritize and respond to incoming emails, calls, and requests on behalf of senior leadership when appropriate.
  • Coordinate travel arrangements and meeting preparations.
  • Support strategic initiatives, special projects, and research assignments.

General Administrative & Office Support

  • Provide administrative support to multiple departments and senior staff.
  • Maintain organized digital and physical filing systems.
  • Assist with data entry, database management, and updating organizational records.
  • Respond to internal and external inquiries in a professional and timely manner.
  • Assist with procurement, supply orders, and invoice processing.

Minimum Qualifications and Skills:

  • 2+ years of previous experience as an Executive Assistant or in a similar administrative role.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and maintain accuracy under pressure.
  • Able to work well independently and collaboratively in a mission-driven team environment.
  • High level of discretion and professionalism.
  • Passion for the organization’s mission and values.

Preferred Skills

  • Experience supporting fundraising and development activities.
  • Knowledge of non-profit governance and board relations.
  • Ability to work independently and collaboratively in a mission-driven environment.

Other Requirements:

  • Being a Christian Organization, we require our employees to agree with and sign the Hope Mission Statement of Faith.
  • Cover letter stating why you wish to work with a Christian organization.
  • Must be legally entitled to work in Canada on a full-time basis.
  • Able to provide Criminal Record Check and Vulnerable Sector Search
  • A letter of reference from a ministry or church is an asset
  • Adherence to Hope Mission’s Policies and Procedures.
