Job Title: Volunteer Coordinator

Based at: CarePoint Wellness Centre

Reports to: Donor Relations Coordinator

Hours of work: 40hrs a week Mon-Fri

Start date: Immediate

Status: Full-Time, Permanent

Salary: $3,750/ month ($45,000 annually)

Job Summary:

The Volunteer Coordinator is responsible for recruiting, organizing, and scheduling volunteers to support Hope Mission programs operating in Edmonton. This position also helps to organize events and activities that support Hope Mission programs.

  • Administration & Organizational Gifts: Excellent organizational and people skills. 
  • Communication: Excellent written and verbal communication skills. Comfortable making phone calls and answering emails in a timely manner.  
  • Teamwork: Ability to work with other team members as well as support other departments of Hope Mission.

Major Duties and Responsibilities:

  • Volunteer Screening, Training, & Scheduling: Process new volunteer applications. Schedule volunteers for kitchen and program shifts as well as special events. Ensure volunteers have gone through appropriate screening steps before volunteering. Coordinate volunteer training and orientation in collaboration with Program Managers. Provide volunteers with a role description and necessary training depending on the volunteer role.
  • Volunteer Recruitment & Processing: Recruit new volunteers for Hope Mission by engaging with community groups, churches, businesses, and other stakeholders to encourage them to volunteer. 
  • Volunteer Support: Provide ongoing support and check-ins to active volunteers. Address any concerns raised by volunteers. Work with individual program managers to address any concerns about volunteer performance or conduct.
  • Database Management: Maintain volunteer records in the Volgistics database and ensure prompt response to all applications and enquires.
  • Communication: Provide ongoing communication between Hope Mission staff, volunteers, and the Program Manager. Actively communicate volunteer needs through recruitment networks. Engage in communication and dialogue with volunteers over phone, email, or social media. Ensure that all communication is timely and detailed
  • Events: Assist with development, planning, and coordination of events as directed by management
  • Other duties as directed by management.

Minimum Qualifications and Skills:

  • A minimum of 2 years working experience in volunteer services, customer service, or administration.
  • Post-secondary education in relevant field or related equivalent experience an asset.
  • Proficient in Microsoft Office Suite.
  • Experience with volunteer management databases will be considered an asset.
  • Excellent interpersonal communication skills with demonstrated leadership skills.
  • Strong written and verbal skills with the ability to communicate effectively and efficiently.
  • Proven ability to supervise, motivate, train, and monitor the performance of a team of volunteers.
  • Strong organizational skills, ability to prioritize multiple tasks and deadlines.
  • Self-motivated with the flexibility to adapt to changing demands and deadlines to achieve results.
  • Demonstrates willingness and ability to apply new methods and techniques.
  • Willingness to work outside regularly scheduled hours on occasion.
