Strides Toronto Support Services (“Strides Toronto”) Strides Toronto is a multi-service agency supporting infants, children, youth and young adults from birth to age 29, and their families, primarily across east Toronto. We offer community-based, residential and treatment programs—including mental health counselling, autism services, early intervention, day treatment, education, outreach and community support—using a client-centered, evidence-informed approach. Since 2015, Strides Toronto has served as Toronto’s Lead Agency for Infant, Child and Youth Mental Health, partnering with 21 core service providers to provide system leadership, citywide planning, coordinated service delivery and program alignment. Strides Toronto also leads initiatives with broader reach, including Help Ahead and the HOPE Strategy across Toronto and One Stop Talk/Parlons Maintenant and the Provincial Youth Outreach Worker Program across Ontario.
ABOUT THE ROLE
This is an existing vacancy for a Full-Time Contract Executive Assistant to the President and CEO position that develops and implements systems that ensure the smooth operation of the President and CEO’s (CEO) office including the timely preparation and follow-up to the work of the board of directors. The EA applies a customer service orientation in all aspects of the work and provides a broad range of advanced administrative and support services. The position includes responsibility to provide leadership and coordination of various public relations activities and maintaining centralized organizational master files.
WHAT YOU WILL DO
- Provide support to the President and CEO and Board to ensure the smooth operation of the organization. Liaise with the President and CEO, board chair, board committee chairs and board members as required to coordinate various board and committee activities; prepare and arrange correspondence and the signing of Strides documents.
- Facilitate the smooth preparation and execution of documents and meetings. Serve as a representative of the President and CEO to board members and other stakeholders (e.g., funders, vendors, clients).
- Ensure the smooth operation of the President and CEO’s schedule/calendar and prioritize meetings and tasks.
- Manage meeting requests from various internal and external stakeholders including board members, senior management team members, partner organizations, staff, ministry meetings, consultants, etc.
- Provide administrative support to the President and CEO; create, collaborate, compile documents, word processes and manage confidential material for Strides Toronto.
- Provide preparatory, administrative, and recording services to the Board, and President and CEO; ensure the effective distribution of agenda materials and manage the logistical arrangements as required for these meetings.
- Lead and/or support special projects and events under the direction of the President and CEO including; board retreat, board social, board education events, annual general meeting, staff appreciation event and all staff meetings including coordinating staff and volunteer support of these events.
- Liaise with the Finance Team regarding donations and ensure donors are appropriately thanked and their donation stewarded.
- Create draft documents where necessary, collaborate with team members, compile reports or data, schedule meetings.
THE “MUST HAVES”
The following education, professional memberships and knowledge are a requirement for this role:
- Post-secondary degree/ diploma with at least five years’ experience in a senior or executive administrative role.
- Demonstrated proficiency in terms of computer knowledge and ability to operate computers and related technology utilizing the more advanced features of applications including Word, Excel, PowerPoint, databases, Adobe, OnBoard and Internet Explorer and the ability to easily learn other computer applications and software.
- Excellent keyboarding and document formatting skills.
- Strong mathematical abilities plus a keen attention to detail.
- Understanding of organizational structure including divisional/departmental management and processes.
- Knowledge of the community served by the Organization; and a demonstrated understanding of access and equity issues; and awareness and sensitivity to diversity in the workplace and within the community.
- Excellent organizational and administrative skills, including excellent oral and written communication skills.
- Ability to take clear, concise meeting minutes recording decisions and the ability to create clear, attractive documents.
- Excellent interpersonal skills are required to liaise with management, staff, board, donors, and suppliers.
- Must have demonstrated commitment to continuous quality improvement and adaptation to change.
- Must have the ability to take initiative, work with minimal supervision and meet deadlines.
- Excellent event management and time management skills with the ability to prioritize multiple tasks and projects.
- Ability to maintain confidentiality always and display discretion while having sound judgement and discretion, and a sensitivity to staff and donor needs, are essential in dealing with confidential information.
- Ability to communicate in a professional manner to internal/ external community contacts. Possesses a pleasant and professional telephone manner.
- Good problem-solving, decision-making skills and sound judgement are required to address issues that reach the office of the CEO.
- Flexibility, initiative, good judgment, tact, diplomacy, and confidentiality are essential.
- Both pro-active and able to receive direction.
THE ‘NICE TO HAVES’
While not required, preference will be given to candidates with the following:
- Experience working with a non-profit board of directors and awareness of governance matters is an asset.
- Prior experience in event coordination is an asset.
- Fluency in another language(s).
- Awareness of the role of diversity, equity, and inclusion in the workplace and within the community being served by the organization.
- An understanding of anti-Black racism, anti-oppressive/anti-racism perspective in the context of the social determinants of health.
- Ability to recognize and identify situations where incidents of and imbalance of power and privilege may occur and can result in possible negative impacts for the client.
