This is a U6 Step 1 position in accordance with the salary scale stated in the Collective Agreement between Salal Sexual Violence Support Centre and MoveUP (COPE, Local 378).

Union: This is a Unionized position. Salal Sexual Violence Support Centre’s Union Representation is with MoveUP (COPE, Local 378). Internal candidates will be prioritized. 

Hybrid Working: This position is eligible to work remotely with in-office and/or in-person activities as directed by management and to meet program needs.

Job Summary 

The Volunteer Coordinator provides leadership, evaluation, support, training, and supervision to a multi-disciplinary volunteer team while upholding trauma-informed, intersectional feminist, anti-oppressive, and decolonizing principles in all aspects of work. This role leads, creates strategy, coordinates and oversees all volunteer training, while working to grow and foster volunteer engagement and participation across the organization. This role is expected to actively engage in events, social justice activities, and other related community work.

Organizational Status  

Salal Sexual Violence Support Centre is a feminist, anti-oppressive, decolonizing not-for-profit organization who changes society through advocacy, outreach and education. Operating on unceded Coast Salish Territories, Salal Sexual Violence Support Centre advocates for and provides counselling and victim services support to survivors of all marginalized genders who have experienced violence in intimate relationships, sexual assault, and/or childhood sexual abuse. Work Performed

Program Design, Execution and Evaluation

  • Lead the development, evaluation and strategy to maintain and enhance quality service delivery for survivors through Salal Sexual Violence Support Centre’s Volunteer program across the organization
  • Continually conduct environmental scans of the Volunteer Program to identify impact and ensure its growth and continuity within the organization as Salal’s oldest program 
  • Evaluate and respond to feedback from service users and the volunteer team to identify areas for improvement and implement solutions to promote program excellence
  • Develop and execute initiatives and opportunities to ensure continuous volunteer recruitment, engagement and retention, and to grow and diversify the Volunteer Team
  • Continually communicate and collaborate with the Volunteer team and Victim Services team to ensure full consistent and reliable coverage of the Information & Crisis Line 
  • Initiate, plan, and execute cross-program collaboration to seek insight on how volunteers can be leveraged across programs and to promote its full use throughout the organization
  • Track program performance by defining long- and short-term goals and measurable outcomes
  • Ensure program policies, procedures, training manuals and forms are up to date and aligned with organizational values and standards, and are being upheld among the Volunteer Team 
  • Participate in making Salal’s internal culture and services more affirming and inclusive for all marginalized genders 

Volunteer Training and Supervision

  • Oversee all aspects of volunteer training, including facilitating trainings and coordinating internal and external facilitators to provide trainings
  • Develop and coordinate volunteer training schedules to ensure all core topics are covered, scheduling is consistent for optimal learning conditions and skill and knowledge acquisition, and communications is clear and reliably shared between volunteers, facilitators, and the broader organization 
  • Appoint, support, mentor, and supervise the Volunteer Training Liaison, and regularly communicate and collaborate between the Liaison and training facilitators to ensure full coverage of support throughout the volunteer training schedule
  • Assess and maintain up-to-date inventory of service supplies, including setting up and coordinating equipment and supplies for facilitators doing virtual and/or in-person trainings
  • Identify, develop, and implement capacity building strategies in response to learning needs of volunteers and areas for service delivery improvements
  • Provide ongoing support, mentorship, and leadership to volunteers in alignment with Salal’s mission, vision, values and strategic directions, and through all stages of volunteers’ commitment to the organization, including recruitment, training, and retention
  • Engage with volunteers on an ongoing basis, including coordinating and facilitating mandatory monthly volunteer meetings, to ensure volunteer wellness, and consistent program delivery in accordance with program and organizational policies and procedures
  • Responsible for the safety of all team members in all volunteer capacities within the organization through consistent application of policies, procedures, practices, and occupational health and safety associated with each role, such as answering callers on the Information & Crisis Line, engaging with the public when out in community doing educational outreach, support circles, and working with staff and clients at the office when supporting the fundraising or operations teams
  • Ensure consistency and completion of all program forms by volunteers (e.g. supervision, call logs, reflection forms, etc.) 
  • Evaluate and Supervise the Volunteers performance in their roles within the organization
  • Oversee the ongoing maintenance of the Ansatel Phone System to ensure reliable and consistent coverage of the Information & Crisis Line

Community Partnership and Stakeholder Engagement

  • Strengthen existing relationships with external facilitators/educators who participate in the Volunteer Training and build new relationships with community partners to establish and maintain a network of vetted knowledge keepers and to grow a community of practice
  • Consult and collaborate with other volunteer coordinators/managers and community organizations or stakeholders to identify opportunities to network and spaces to engage in volunteer recruitment, and to exchange insight, skills, knowledge, and best practices in volunteer management and volunteer capacity building
  • Work collaboratively across programs and with community partners to maintain and update the Salal Red Book and to ensure all program materials, including volunteer training materials and resources, are relevant and accurate

Operations

  • Attend all required Salal team meetings (e.g. staff meetings, trainings, cross-program meetings) 
  • Participate on a minimum of one Salal committee 
  • Maintain and provide statistics and reports regarding volunteer activities to the Manager of Victim Services & Volunteer Programs as required
  • Evaluate and develop the program using feedback from staff and volunteers with a goal of fully accessing and utilizing volunteer participation across the organization
  • Engage in research and gap analysis to evaluate and support development of Volunteer Training using feedback from trainees, volunteers, staff, Training Liaison, community organizations, and external facilitators 
  • Participate in supervised settings with the Manager of Victim Services & Volunteer Programs as required
  • Participate in Clinical Supervision
  • Participate in yearly performance appraisal
  • Adhere to all Salal policies and procedures
  • Ensure responsible use of Salal resources; manage and monitor program budget, expenditures and reimbursements; approve and submit all volunteer and program expense claims for reimbursement 
  • Perform other related duties as required by the Manager of Victim Services & Volunteer Programs 

Working Conditions

Salal Sexual Violence Support Centre acknowledges that our work environment is directly impacted by all forms of oppression and the impact of colonialism. In this role, the Administrative and Program Support will almost always witness the impact that violence has on Salal Sexual Violence Support Centre’s service users and, by extension, the staff.

The pace of work for the Administrative and Program Support is not always controlled by the employee. This position is almost always faced with multiple demands/tasks with time pressures to finish.

Consequences of Error/Judgement

This position requires judgment, tact, discretion, and initiative. Errors may result in significant cost, loss of time and/or may affect the operation and delivery of programs which could damage the reputation of the organization. Poor judgement or ineffective communications with relevant institutions, community partners, and clients could result in strained relations that compromise the effectiveness and credibility of Salal Sexual Violence Support Centre.  

Qualifications

  • Post-secondary diploma (2-3 years) in a relevant field (e.g. Women’s or Gender Studies, Psychology, Sociology, Criminology), or equivalent combination of experience and education 
  • 3-5 years of recent related experience 
  • Must have strong working knowledge and critical analysis of the issues and systems of oppression impacting survivors of marginalized genders
  • Experience working in the Criminal Justice System and Victim Service Worker training completed through Justice Institute of B.C. 
  • Demonstrated supervisor experience providing leadership, support and building/maintaining relationships with volunteers 
  • Experience using an anti-oppressive, intersectional feminist, decolonizing approach in providing direct services to women survivors of sexualized violence and/or violence in relationships
  • Demonstrated success in working effectively with individuals from diverse backgrounds (e.g. cultural, religious, age, sexual orientation, etc.)
  • Satisfactory completion of a criminal record check with vulnerable populations. Salal recognizes that there can be stigma surrounding people’s criminal history. To avoid perpetuating shame, Salal will not consider crimes around drug offences, sex work, property offences, or poverty-related offences as relevant in determining a candidate’s suitability for a role.

  • Completion of Volunteer Training and/or previous volunteering commitments at Salal considered an asset
