Type: Full-time, 35 hours per week
Location: 3701 Danforth Avenue, Scarborough, ON M1N 2G2. This is a fully on-site position. The successful candidate is required to work from the Variety office during regular business hours.
Salary: The salary for this position ranges from $55,000 to $65,000, depending on experience and qualifications. A comprehensive benefits package is also included.

At Variety Village, participants and families can choose self-guided pathways or instructor-led programs spanning social and life skills, recreation and fitness, and leadership for ages 3+. Built with accessibility at their core, these opportunities help participants develop physical literacy, resilience, social cohesion, and leadership, equipping them with transferable skills, supportive networks, and self-efficacy that foster lifelong independence and community engagement. Many programs are fully integrated, cultivating empathy, collaboration, and respect among persons of diverse abilities.
Variety also advances high-performance adaptive sport, with athletes representing Canada at every Summer Paralympics and Special Olympics since 1984. Programs for individuals ages 7 and up, including wheelchair basketball, swimming, taekwondo, weightlifting, track & field, boccia, Challenger Baseball, and First Tee golf, provide structured pathways from introductory participation to elite competition, inspiring lifelong learning, and excellence. These programs also support Variety's provincial outreach efforts, where adaptive sport is leveraged to build capacity and empower new allies and providers to offer inclusive recreation in schools, municipalities, corporations, and community organizations across Ontario.
To remove barriers, Variety subsidizes 50–80% of fees for over 1,000 participants and families annually, ensuring access to programs that would otherwise be unavailable. In doing so, we help families break cycles of socio-economic exclusion that can limit participation, skill development, and social cohesion, contributing to improved health outcomes and a stronger sense of belonging for children and dependents who might otherwise be vulnerable or underserved.
The Opportunity
As a registered charity, Variety relies on philanthropy and strategic partnerships to subsidize a portion of the program and facility costs that benefit its participants and families. More than three-quarters of our annual budget supports the development and delivery of inclusive, community-based programs at Variety Village and across Ontario. Our ability to sustain and grow these opportunities depends, in part, on consistently engaging, recognizing, and stewarding the support of donors and partners.
Reporting to the Director, Philanthropy & Partnerships, the Coordinator plays a vital operational and administrative role in fostering organizational support. The Coordinator serves as the first point of contact for key internal and external stakeholders, including donors, funders, strategic partners, and service providers, coordinating communications and front-line services essential to sustaining and strengthening their loyalty and engagement.
The Coordinator also develops and maintains efficient systems and workflows to streamline supporter engagement and stewardship, including donation processing, reconciliation, and reporting, ensuring timely and accurate information to support leadership decision-making and external accountability.
Key Areas of Responsibility:
Revenue Processing & Reporting
• Implement, test, and refine workflows and timelines for donation and other philanthropic revenue processing, supporter recognition and stewardship automations, data integrity evaluation, and revenue reconciliation and reporting in Salesforce.
• Receive, record, and report on individual donations and other philanthropic revenue, as well as solicited and unsolicited funding opportunities in Salesforce, ensuring accuracy, efficiency, and completeness of current and historical records.
• Reconcile monthly and quarterly philanthropy revenue against projections, assisting the Director in preparing summary insights for leadership meetings and departmental planning.
Funder & Partner Communications
• Maintain, update, and optimize website philanthropic and partnership content, print and digital solicitation and stewardship materials, and online giving pages for ongoing, seasonal, and core campaigns, in coordination with internal and external partners.
Grants, Funders, & Partners
• Research eligibility, deadlines, requirements, and key contacts for private and public grant opportunities; compile and maintain a centralized funding calendar for departmental reference.
• Assist in preparing funder-aligned briefing materials, proposals, stewardship reports, and presentations to support leadership engagement.
• Plan and execute funder site visits and corporate engagement experiences, including logistics coordination, agenda development, briefing materials, and follow-up documentation.
Charitable Gaming Administration
• Administer use-of-proceeds requests, volunteer scheduling, purchase orders, permit renewals, and key date tracking for Variety’s charitable gaming activities, in consultation with the Director, internal finance team, and external cGaming partners.
General & Operational Support
• Perform other duties as required to support departmental operations, initiatives, leadership priorities, and organizational needs.
Key Competencies:
• Post-secondary degree or diploma in business administration, fundraising, nonprofit management, or a related field preferred; equivalent professional experience will be considered.
• Minimum of 2–5 years of experience coordinating administrative or operational functions for fundraising, sales, business development, or stakeholder management teams; revenue reconciliation and reporting processes; or supporting stakeholder engagement, outreach, and recognition programs, ideally within a charitable, nonprofit, or mission-driven organization.
• Demonstrated success in developing, implementing, and maintaining operational or financial systems and controls, donor or partner outreach initiatives, and program or project workflows.
• Strong proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), customer relationship management (CRM) software (Salesforce), and online giving platforms (Raisely, Canada Helps, Benevity, etc.).
• Working knowledge of print production processes, basic graphic design, website content management systems, email marketing platforms, and financial processing platforms; proficiency with Adobe Creative Suite (Acrobat, Photoshop, Illustrator, InDesign) is an asset.
• Understanding of not-for-profit operations, fundraising practices, and compliance requirements.
• Exceptional organizational, planning, and project management skills.
• Strong interpersonal, communication, and relationship-building skills.
• High attention to detail and demonstrated ability to maintain data integrity.
• Proactive, adaptable, and able to prioritize competing tasks in a fast-paced environment.
