About this opportunity

The Senior Officer, Database & Donor Systems plays an important role in supporting Kinvia’s fundraising efforts by ensuring accurate, reliable donor data and reporting. Working closely with the Integrated Fundraising & Communications team, this role helps maintain and optimize Kinvia’s donor database (Raiser’s Edge NXT), generate data and reporting that support fundraising analysis and decision-making, and ensure teams have the information needed to effectively engage and steward donors.

This role contributes to the success of Kinvia’s annual giving and marketing initiatives by maintaining high-quality data systems, supporting fundraising campaigns, and providing reporting and analytics that guide donor engagement and growth strategies. As part of a learning and evolving organization, the Senior Officer will also contribute to process improvements, data governance practices, and reporting frameworks that strengthen Kinvia’s fundraising operations. 

Areas of Responsibility

Database Maintenance

  • Support the integrity, security, and performance of Kinvia’s donor database (Raiser’s Edge NXT).
  • Implement and maintain best practices for data entry, imports, and constituent information management.
  • Perform routine database maintenance including duplicate management, queries, appeals, and data hygiene.
  • Support fundraising revenue reporting and gift reporting requirements.

Donor and Marketing Data 

  • Generate data extracts and reports to support fundraising campaigns, donor stewardship, and marketing initiatives.
  • Provide list pulls and segmentation for fundraising and marketing campaigns.
  • Maintain fundraising dashboards and campaign performance tracking (including PowerBI reporting).
  • Support integration and optimization between Raiser's Edge NXT and marketing tools (e.g., WordPress, MailChimp).

Monthly Donor Program Support

  • Support the administration of Kinvia’s monthly donor program in collaboration with the Annual Giving team.
  • Maintain accurate records and reporting on donor engagement, activity, and trends.
  • Assist internal staff and partners with processes related to monthly giving and donor records.

Integrated Fundraising & Communications Team Support 

  • Work closely with the Annual Giving and Communications teams to support fundraising campaigns.
  • Identify and help resolve data inconsistencies in collaboration with internal teams.
  • Liaise with external vendors and internal teams to support donor reporting and database maintenance.

Requirements:

  • University degree or college diploma in a relevant field such as business administration, nonprofit management, information systems, data analytics, marketing, or a related discipline, combined with training or certification related to CRM systems or fundraising data.
  • 2-4 years of relevant experience, including at least 2 years working with Raiser’s Edge NXT or a comparable CRM system.
  • Experience working with data imports, exports, queries, recurring gift management, and reporting.
  • Strong data management skills and attention to detail.
  • Experience generating reports and dashboards (PowerBI experience required).
  • Strong proficiency in Microsoft Office 365, particularly Excel.
  • Knowledge of Canadian privacy legislation (PIPEDA) and CASL compliance related to donor data.
  • Strong organizational and time management skills with the ability to manage multiple priorities in a remote environment.

  • Ability to work effectively from a remote home office in Canada.
  • Must be eligible to work in Canada.
  • Experience in the nonprofit or fundraising sector is a plus.
