Front Desk & Client Support Worker

Part-Time - 15 hours weekly | In-Person
Position Summary
The Front Desk and Client Support Worker acts as the primary frontline contact for The Men’s Centre and handles client intake (including crisis calls), appointment booking, community referrals, administrative tasks, social media oversight, basic financial duties, and coordination of the Boots to Suits work clothing program. Liaise with volunteers from time to time.This position demands professionalism, emotional maturity, good judgment, and an understanding of men’s mental health, intimate partner violence, and the barriers men face in seeking help. The successful candidate plays a key role in ensuring clients are warmly welcomed, supported, and connected to appropriate services promptly and respectfully.
Key Responsibilities
1. Frontline Client Intake & Crisis Support
● Answer incoming calls, including crisis and high-stress calls
● Provide compassionate, non-judgmental first contact support
● Conduct initial client intake and triage
● Book counselling appointments and group registrations
● Maintain accurate and confidential client records
2. Boots to Suits Program Coordination & Delivery
● Coordinate and oversee the Boots to Suits work clothing program
● Assess client eligibility (including required proof of employment need)
● Assist clients with selecting appropriate professional clothing
● Maintain program inventory and track participant numbers and outcomes.
● Maintain relationships with community partners and referral sources
● Support promotion and awareness of the program
3. Community Resource Navigation & Referrals
● Maintain working knowledge of local community resources
● Provide resource & referrals support for housing, legal, addiction, employment, and family support services
● Support clients in navigating community systems
4. Administrative Operations
● Maintain client databases and perform data entry
● Support scheduling, file management, and documentation
● Assist with monthly reporting and KPI tracking
● Maintain general office operations and supplies
● Process receivables and incoming payments, accurately record financial transactions, and assist with invoice preparation and expense tracking.
5. Social Media & Communications
● Assist in managing social media platforms
● Draft and schedule posts related to programs, events, and awareness initiatives
● Support website updates
● Assist with marketing and community outreach
Qualifications & Experience
● Experience in client services, program coordination, or frontline support
● Basic counselling skills & ability to respond calmly and professionally to crisis situations
● Strong organizational and multitasking skills
● Understanding of men’s mental health issues and the barriers men face in seeking help.
● Proficiency with Microsoft Office and data entry systems
● Experience with QuickBooks (asset)
● Experience managing social media
● A clean RCMP criminal record check (vulnerable persons)
● Knowledge of the non profit world an asset
