Currently, Bissell Centre is looking for an individual wanting to join a Resource Development team. Are you ready to be our Event Coordinator and make an impact in our community?

ABOUT THE ROLE

The Event Coordinator executes the logistical vision for Bissell Centre’s Community and Fundraising events. The coordinator plays a key role in the delivery of large-scale signature fundraising events requiring cross-departmental collaboration and community-wide participation. Reporting to the Manager of Community Engagement, the coordinator is primarily responsible for event logistics, timelines, and delivery, while contributing critical operational recommendations to enhance future strategy and performance.

The Event Coordinator drives the successful execution of Bissell Centre events by bridging the gap between high-level strategy set by leadership, and technical delivery. Responsible for keeping projects on track and contributors accountable, this role ensures all events are organized, inclusive, and mission aligned. The coordinator provides vital input on event design while masterfully managing the logistics, timelines, and cross-functional follow-through required for success.

The breakdown below reflects the general focus of the role and may shift seasonally.

Events & Engagement

  • Event Coordination & Operational Delivery: Coordinate and execute approved community fundraisers, awareness initiatives, program-related gatherings, and seasonal campaigns. Support on-site event delivery, including setup, registration, guest flow, troubleshooting, and coordination during events.
  • Planning, Logistics & Documentation: Lead event logistics, including timelines, workplans, venue coordination, equipment and supply needs, vendor coordination (subject to approval), contingency planning, and post-event wrap-up. Maintain accurate event plans and documentation within the digital project management system.
  • Stakeholder Engagement & Timeline Management: Work collaboratively with internal teams, volunteers, vendors, sponsors, and community partners to ensure clarity and alignment. Track deliverables, follow up with contributors, and escalate risks regarding scope, timelines, or capacity.
  • Communications Review & Coordination: Audit event-related communications (invitations, emails, web content, registration pages, sponsor materials) for clarity, accuracy, brand consistency, and alignment with stated event goals. Coordinate with internal communications and marketing staff to support timely and accurate distribution.
  • Program & Third-Party Support: Provide logistical guidance and support to staff planning program-specific events and serve as a professional liaison for third-party fundraisers and donation drives.
  • Stewardship & Experience: Help ensure a positive, welcoming experience for participants, volunteers, partners, and supporters.
  • Evaluation & Continuous Improvement: Facilitate post-event evaluations, gather feedback, document outcomes, and contribute insights to strengthen future initiatives.

Fundraising Integration

  • Best Practices: Apply established fundraising standards to all event executions in collaboration with the Resource Development team.
  • Support event-based fundraising logistics and contribute operational insight to improve results.
  • Align event delivery with broader development goals set by leadership.

Administration & Professional Excellence

  • Continuous Improvement: Facilitate post-event evaluations, gathering feedback and documenting outcomes to strengthen future initiatives.
  • Sector Awareness: Maintain a pulse on Canadian nonprofit trends, fundraising innovations, and event technology.
  • Agency Representation: Represent Bissell Centre at public presentations, Agency tours, and external community events.
  • General Support: Participate in team meetings, safety walks at downtown locations, and other duties as assigned to support organizational priorities.

Qualifications

Education and Experience

  • Post-secondary education in event management, nonprofit management, communications, marketing, fundraising, or a related field.  An equivalent combination of education and experience would be considered.
  • 1–3 years of experience coordinating events, projects, or engagement initiatives in a nonprofit, community, or comparable environment.

 

Knowledge, Skills, and Abilities

  • Demonstrated experience managing logistics, timelines, and multiple moving parts simultaneously.
  • Experience working with diverse stakeholders, both internal and external.
  • Proven ability to manage deadlines, follow up consistently, and keep work progressing in a dynamic environment.
  • Experience supporting initiatives with a fundraising or community engagement component.
  • Strong organizational skills and attention to detail.
  • Clear and professional written and verbal communication skills.
  • Confidence escalating issues and seeking clarification when needed.
  • Proficient with Microsoft Office Tools including SharePoint, Word, Excel, and Outlook
  • Demonstrated ability and willingness to use a digital project management system to plan, track, and document event coordination work. Experience with platforms such as Teamwork, Asana, Monday.com, or similar systems is an asset.
  • Ability to work independently within defined parameters and with regular supervision.

Conditions of Work

  • Role is characterized by shifting seasonal priorities.
  • Valid driver’s license and willingness to travel locally for events.

•        Solve Problems: Assess problem situations to identify causes, gather, and process relevant information, generate possible solutions, and make recommendations and/or resolve the problem.

Screening Requirements

  • Flexibility of the working day is inherent in the position. The workload fluctuates. Flexibility to work evenings, weekends, and the occasional Statutory Holiday is required
  • Occasional travel and transportation of materials is required
  • Working in spaces that are close to or includes people who are experiencing complex life situations

Training Requirements

  • Conflict into Calm Training
  • Naloxone Kit Training
  • WHMIS Training

The above listed training requirements must be completed within the first three months of employment. Other training requirements may be identified during employment and must be completed as directed.
