About the Position:
The Asset Management Lead provides essential support to the Senior Facilities Manager in maintaining and improving the organization’s established community real estate portfolios involving from minor improvements to major projects.
This role provides project control through regular project cadence and project management to ensure projects are running on time, within budget and scope and project deliverables will be met. This role also ensures that properties within the portfolio are safe, well-maintained, and aligned with organizational standards.
Reports to: Senior Facilities Manager
Key Duties and Responsibilities:
- Ensure projects, work orders, and capital improvement projects are conducted safely, cost-effectively, efficiently, on time, and follow up on post-project deficiencies.
- Set up and conduct site inspections and repairs with vendors and contractors as required while maintaining timely communication with internal teams.
- Coordinate maintenance activities, including inspections, repairs, and component replacements, collaborating closely with internal teams and external vendors to minimize downtime.
- Utilize computerized maintenance management systems (CMMS) to track maintenance activities, schedule work orders, and maintain accurate maintenance and repair records for efficient maintenance/resource planning and decision-making.
- Monitor and manage complex projects and ensure deliverables are completed within scope and timeline under the management of the Senior Facilities Manager.
- Identify deficiencies and provide reports to the Senior Facilities Manager on opportunities for process improvement and efficiency gains in maintenance operations at Housing sites to enhance reliability and operational efficiency.
- Assist the Senior Facilities Manager in responding to emergencies, fire, and security situations as required.
- Coordinate, support, and conduct Health and Safety inspections and evacuation drills to ensure regulatory compliance, including accurate completion of inspection reports and recommendations for corrective actions.
- Build and maintain collaborative relationships and clear, transparent communication with S.U.C.C.E.S.S. internal customers, including other departments, and tenants at various Housing sites.
- Coordinate insurance renewals with site teams and report to Senior Facilities Manager.
- Collaborate with cross-departmental teams, including Procurement and Sourcing, to support property operations initiatives, address challenges, and ensure alignment with organizational goals and objectives on sustainability.
- Coordinate and facilitate regular project cadence meetings with all parties involved in the project (vendors, contractors, external partners, housing managers, and internal team).
- Support the long-term assets planning, monitoring, and inspections for compliance, and project coordination across internal teams to maintain operational excellence.
Education, Training and Experience:
- Minimum 2 year experience in Project management or project coordination and/or Property Management
- Minimum 1 year of experience in building systems and tenant management
- Post-secondary education in Project Management is an asset
- Professional designation in Property Management, Facilities Management, or a related professional designation is an asset
- Experience in collaborating with community service providers is an asset
- Working knowledge of business software programs, including project management tools
- Knowledge of health and safety regulations is an asset
- Knowledge of YARDI is an asset
