Position Overview:

Join our vibrant team this summer as a Community Events Assistant Planner playing a key role in creating meaningful, memorable experiences for children and families in our community. This dynamic position offers hands-on experience in event planning, coordination, and community engagement within a supportive, mission-driven organization.

Reporting to the Community Programs team, the Special Event Program Planner will assist with the planning, coordination, and delivery of special events hosted by Family Services of Central Alberta. Working closely with staff and dedicated volunteers, the successful candidate will support event logistics, help facilitate activities, and engage with community members to ensure each event runs smoothly and provides a welcoming, inclusive environment for all participants.

 

Responsibilities:

  • Assist in the planning, setup, execution, and takedown of community and special events for children, families, seniors, and community members.
  • Support the development and delivery of engaging activities and attractions for families.
  • Work closely with volunteers to ensure smooth event operations and provide support as needed.
  • Coordinate event logistics, including vendor arrangements, equipment setup, signage, and materials preparation.
  • Manage the booking system for special event equipment, including tracking availability and confirming rentals with community partners.
  • Coordinate the pick-up and drop-off of event equipment, ensuring items are organized, clean, and properly stored.
  • Assist with the organization’s tent loaning program.
  • Help maintain accurate inventory of event tools, supplies, and equipment.
  • Provide on-site event support, including greeting attendees, answering questions, and assisting staff and volunteers.
  • Contribute creative ideas to enhance event offerings and increase appeal to the target audience.
  • Assist with administrative tasks such as data entry, scheduling, record keeping, and communication with stakeholders.
  • Support social media platforms by assisting with event promotion and related content.
  • Adhere to all safety protocols and regulations to ensure a safe, welcoming, and inclusive environment for all participants.
  • Promote a positive and inclusive experience for families, children, youth, seniors, and the broader community.

 

Qualifications:

•         Must be Canadian citizen, permanent resident, or refugee, and between 18–30 years of age.

•         Valid driver’s license and access to a reliable vehicle required.

•         Currently enrolled in a post-secondary program and returning to school in the fall.

•         Related post-secondary education in events, recreation, social services, communications, or a related field is preferred.

•         Knowledge of the non-profit or community services sector is an asset.

•         Demonstrated enthusiasm for working with children, families, and community members in an event setting.

•         Strong communication and interpersonal skills, with the ability to collaborate effectively with staff, volunteers, and community partners.

•         Excellent organizational skills and attention to detail to support seamless event coordination.

•         Ability to adapt to changing priorities and work effectively in a fast-paced environment.

•         Creative and resourceful mindset, with the ability to contribute innovative ideas that enhance event experiences.

•         Previous experience in event planning, customer service, or working with children or families is an asset but is not required.

•         Strong problem-solving skills and the ability to take initiative when challenges arise.

•         Digital skills, including comfort with basic technology, data entry, and social media platforms.

•         Proven ability to work collaboratively as part of a team while also managing independent tasks.

•         Must be legally entitled to work in Canada; Canadian citizen, permanent resident, or refugee, and between 18–30 years of age.

•         Valid driver’s license and access to a reliable vehicle required.
