This is a part-time, non-union contract position, scheduled for 17.5 hours in-person, Monday to Friday, from 10:30 a.m. to 2:00 p.m., based in Peel Region.
DUTIES
• Provides administrative and secretarial support to ERS manager and team
• Handles client inquiries in person, over the telephone, via email, and through virtual meeting tools regarding COSTI’s programs and services
• Facilitates intake process and client registration
• Responsible for input of client data into CIS, HARTs and iCare
• Liaises with language assessment centre for client intake assessment and placement
• Liaises with program staff to collect data for entry into CIS, HARTs and iCare
• Verifies, compiles, corrects and prepares statistical and narrative reports
• Prepares client letters and certificates of completion
• Assists in planning and scheduling of guest speaker presentations, both virtually and in-person
• Responsible for scheduling meetings, distributing agendas, and taking minutes
• Prepares and verifies petty cash and course deposit statements monthly
• Orders office and program supplies as required
• Creates, organizes and maintains operational files and inventory of program materials and supplies
• Supports new clients’ access on Teams to prepare for attendance in virtual classes
• Prepares and distributes materials for program outreach
• Performs other administrative duties as required
QUALIFICATIONS
• High school diploma or equivalent and 1-year office experience
• Ability to work independently using the phone, computer, and internet with minimal supervision
• Experience using virtual meeting tools such as MS Teams
• Demonstrated proficiency in MS Word, Excel, Publisher, Outlook, and internet browsing
• Strong written and verbal communication skills
• Typing speed of 40 words per minute is essential
• Possess understanding of office procedures
• Ability to meet timelines ensuring prompt completion of tasks
• Demonstrated ability to work in a team-oriented environment
• Excellent customer service skills and sensitivity towards educational needs of newcomers
• Ability to speak a second language would be considered asset
• Knowledge of iCARE, CIS or CLARS would be an asset
