JOB SUMMARY
Position:Program Coordinator
Purpose: The Program Coordinator will bridge organizational strategy and high-impact delivery. By providing governance support to the Advisory Council, conducting research on emerging workplace trends, and transforming complex information into visually engaging, pedagogically sound training materials, you will ensure our programs remain professional, agile, and effective. We are looking for a versatile collaborator who can master both the logistical details and the creative execution needed to support our mission and adapt to our team’s needs.
Reports to: The C.A.R.E. Initiative Program Manager
Classification: Full-Time Contract; May 1, 2026 – March 31, 2027; subject to extension based on funding.
Hours & location:35 hours per week – hybrid position with an expectation to be onsite in accordance with AMSSA policies and organizational needs. AMSSA’s office is located at Metrotower II, Suite 2308, 4720 Kingsway, Burnaby, B.C. V5H 4N2.
Salary:$36-38 perhour with a comprehensive benefits package including:
pro-rated 20 days of vacation and 12 days of sick leave
1 day paid off for religious and cultural observance;
extended health benefits after 3 months of employment; and
other longer-term employment benefits including RRSP and staff recognition.

DUTIES
Coordinate Advisory Council meetings, including scheduling, logistics, and participant communications, ensuring meetings are accessible and well-organized.
Collaborate with leadership to prepare and distribute clear, timely agendas that reflect shared priorities and emerging needs.
Attend meetings to take accurate, concise minutes, track decisions and action items, and support timely follow-up.
Act as a key point of contact for Advisory Council members, maintaining respectful, responsive, and ongoing communication.
Transform existing content (e.g., manuals, scripts, research) into engaging and accessible presentations tailored to adult learners.
Develop visual materials such as infographics, one-pagers, and job aids to support diverse learning styles and enhance understanding.
Collaborate with team members to structure training content in a way that is inclusive, learner-centered, and pedagogically sound.
Review and edit materials to ensure clarity, consistency, and alignment with organizational voice and values.
Document processes and standard operating procedures to support knowledge sharing, continuity, and organizational learning.
Support evaluation efforts by compiling and organizing data to help assess program impact and effectiveness.
Conduct focused research on topics such as workplace health and safety, employment rights, and emerging community needs.
Identify, review, and synthesize credible sources into clear, practical summaries for program development.
Collaborate with internal teams, partners, and subject matter experts to ensure content is relevant, accurate, and responsive to community contexts.
Identify gaps in existing resources and support the adaptation or co-creation of materials to address evolving priorities.
Contribute to the alignment and consistency of tools, templates, and resources across programs.
QUALIFICATIONS
Core Qualifications
Experience in program coordination, administration, or a related role, ideally within a community-based or nonprofit environment
Strong organizational and time management skills, with the ability to balance multiple priorities in a dynamic setting
Excellent written and verbal communication skills, with experience preparing clear and accessible materials
Proficiency in Microsoft Office and/or Google Workspace
Ability to synthesize complex information into clear, user-friendly formats
Strong attention to detail, especially in editing, proofreading, and documentation
Demonstrated ability to work collaboratively and build respectful relationships with diverse communities and stakeholders
Assets / Desirable Skills and Experience
Knowledge of adult learning principles, curriculum design, or instructional design
Experience developing training materials, e-learning modules, or educational content (e.g., Canva, Adobe Creative Suite)
Experience editing or developing manuals, toolkits, or learning resources
Strong research skills, including the ability to analyze and summarize information from multiple sources
Experience working in cross-sector or multi-stakeholder environments
Familiarity with topics such as workplace health and safety, employment rights, or settlement services
