Position Summary

We are seeking a highly organized, proactive Project Coordinator to support the implementation and delivery of community-based programs and initiatives. Programs are focused youth development, skills training, education, mental health, violence prevention, employment readiness, and community engagement.

The Project Coordinator will play a key role in coordinating project activities, supporting stakeholder engagement, tracking project deliverables, and ensuring the successful execution of program objectives. The successful candidate will work closely with staff, community partners, service providers, and participants to support impactful programming that strengthens communities and improves outcomes for underserved populations.

Key Responsibilities

Project Coordination & Implementation

  • Support the planning, implementation, and day-to-day coordination of program and project activities.
  • Assist in developing and monitoring project work plans, timelines, deliverables, and milestones.
  • Coordinate workshops, training sessions, community events, meetings, and outreach activities.
  • Arrange project logistics including venue bookings, materials, participant registration, catering, and technology requirements.
  • Maintain accurate project documentation, records, and reporting systems.
  • Track project deliverables and provide regular updates to the project team regarding timelines and progress.

Stakeholder & Community Engagement

  • Build and maintain positive relationships with community partners, stakeholders, service providers, and participants.
  • Support ongoing stakeholder engagement efforts to ensure active participation and alignment with project objectives.
  • Attend community meetings, networking events, and partnership activities as required.
  • Assist with outreach and participant recruitment activities to support project goals.

Monitoring, Evaluation & Reporting

  • Support data collection, participant feedback gathering, focus groups, surveys, and evaluation activities.
  • Assist in monitoring project outcomes and performance indicators.
  • Prepare meeting minutes, progress reports, activity summaries, and other project-related documentation.
  • Identify project challenges and communicate concerns, risks, or emerging issues to the Program Director and Program Manager in a timely manner.
  • Contribute to funding reports and program evaluation requirements as needed.

Administrative Support

  • Maintain project files, databases, and participant records in accordance with organizational policies.
  • Assist with budget tracking, expense monitoring, and procurement processes.
  • Support the preparation of presentations, reports, correspondence, and communication materials.
  • Participate in team meetings, planning sessions, and organizational initiatives.

Qualifications

  • Diploma or degree in Social Work, Community Development, Social Services, Criminology, Psychology, Project Management, or a related field.
  • Minimum two (2) years of project coordination or community development experience.
  • Minimum two (2) years of experience working within the nonprofit, community services, social services, education, youth development, or related sectors.
  • Strong project planning, organizational, and time-management skills with the ability to manage multiple priorities and deadlines.
  • Excellent verbal, written, and interpersonal communication skills.
  • Demonstrated ability to work independently while contributing effectively within a collaborative team environment.
  • Experience coordinating meetings, events, workshops, and stakeholder engagement activities.
  • Knowledge of project monitoring, evaluation, and reporting practices.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Microsoft Teams, and Adobe Acrobat.
  • Experience working with diverse communities and vulnerable populations is considered a strong asset.

Preferred Knowledge & Experience

  • Understanding of trauma-informed, anti-oppressive, culturally responsive, and equity-based approaches to service delivery.
  • Knowledge of issues affecting Black, racialized, newcomer, and underserved communities.
  • Familiarity with topics such as mental health, addictions, violence prevention, youth engagement, employment barriers, community safety, and social inclusion.
  • Experience facilitating workshops, outreach activities, community engagement initiatives, or participant support services.
  • Knowledge of community resources and service systems within the Greater Toronto Area is considered an asset.

Requirements

  • Demonstrated understanding of the unique experiences and challenges faced by Black and racialized youth, low-income families, and underserved communities, including the impacts of anti-Black racism and systemic barriers.
  • Knowledge of and sensitivity to diverse identities, cultures, lived experiences, and socioeconomic realities.
  • Experience working directly with Black communities and other equity-deserving populations.
  • Ability to work occasional evenings based on program requirements.
  • Must be available to work full-time in person.
  • Reliable access to transportation and the ability to travel within the community as required.
  • Satisfactory Vulnerable Sector Check required upon hire.
