Seeds of Love and Hope International Society (SOLAHIS) is a Canadian Christian charitable organization dedicated to transforming lives through Christ's love by addressing the physical, emotional, educational, and spiritual needs of children and families living in poverty.

Although our programs are delivered through our ministry centre in Colombia, the work completed by our Canadian team is what makes this ministry possible. Through donor care, fundraising, administration, church partnerships, communications, and events, we help sustain and grow programs that provide hope and opportunity for hundreds of children and families. 

At SOLAHIS, administration is more than paperwork—it is ministry. Every task completed in Canada helps strengthen the work happening on the ground in Colombia. 

Position Summary 

We are seeking a highly organized, dependable, and mission-minded Administrative Assistant to join our team on a part-time basis. 

This position is primarily remote with flexible hours; however, applicants should be available to attend occasional meetings, fundraising events, or ministry functions throughout the Lower Mainland when needed. 

This role is ideal for someone who enjoys supporting others, thrives in an organized environment, and finds satisfaction in helping a team accomplish its mission. Much of the work will involve carrying out established priorities and supporting organizational goals rather than creating independent initiatives. We're looking for someone who enjoys being part of a collaborative team and executing projects with excellence. 

Key Responsibilities 

Responsibilities may include, but are not limited to: 

  • Providing administrative support to the Executive Director and Event Coordinator 

  • Managing invoices, receipts, and basic expense tracking 

  • Ordering office supplies, promotional materials, and event resources 

  • Preparing spreadsheets, reports, presentations, and organizational documents 

  • Data entry and maintaining accurate records and databases 

  • Assisting with donor communications, mail-outs, and correspondence 

  • Coordinating calendars, appointments, and meeting logistics 

  • Taking meeting notes and following up on action items 

  • Assisting with fundraising campaigns and event preparation 

  • Providing on-site support at fundraising events when required 

  • Assisting with ministry communications and organizational projects 

  • Supporting day-to-day office operations and other administrative duties as assigned 

Qualifications & Skills 

The ideal candidate will have: 

  • Previous administrative or office experience 

  • Confidence using Canva 

  • Basic proficiency in Microsoft Excel 

  • Excellent organizational and time-management skills 

  • Strong attention to detail 

  • The ability to multitask and manage competing priorities 

  • The ability to work independently in a remote environment 

  • Strong communication and interpersonal skills 

  • A friendly, professional, and approachable personality 

  • A willingness to receive direction, follow established processes, and support team priorities 

  • Reliability and the ability to maintain confidentiality 

Preferred Qualifications (Assets) 

While not required, the following would be considered an asset: 

  • Spanish language proficiency 

  • Social media management or content creation experience 

  • Experience working with a nonprofit or charitable organization 

  • Event planning or fundraising experience

Eligibility 

Applicants must be legally eligible to work in Canada. 

Preference will be given to applicants residing in the Lower Mainland of British Columbia to allow for occasional in-person meetings and events.
