The Coordinator, Grant Proposals is an integral member of the YD management team, playing a key role in advancing the organization's mission by securing and managing annual funding to support operations and community programming. Working closely with the Executive Director, the Coordinator, Grant Proposals identifies and researches funding opportunities, prepares letters of intent, develops grant budgets, completes funding applications and reports, tracks deadlines, and maintains accurate, well-organized records. The role also supports donor and funder stewardship and contributes to the planning and execution of fundraising initiatives and events.
We are seeking someone who is highly organized, detail-orientated, and can effectively manage multiple priorities while consistently meeting deadlines. The ideal candidate is fully bilingual, with exceptional written communication skills in both French and English, and brings strong project management abilities, sound judgment, and a collaborative approach to building and maintaining positive relationships with funders and partners.
RESPONSIBILITIES
Grants
Conduct research and use Grant Connect to identify relevant funding opportunities.
Work with Executive Director to determine which grants to prioritize given current organizational needs.
Draft grant proposals and budgets for review by the Executive Director and, as needed, the Board Fundraising Committee.
Collaborate with community partners as needed for all grant applications (e.g., letters of recommendation, partnerships, etc.)
Consult with program staff about current program needs and be aware of the YD’s strategic priorities.
Maintain accurate program data in collaboration with program staff, synthesize organizational statistics for grant proposals and reports.
Attend any applicable information sessions on funding programs and training on successful grant writing, securing donations, etc.
Maintain meticulous notes and documentation on all possible funding sources and current applications; ensure program evaluation is in line with reporting requirements, track all deadlines.
Draft reporting documents with the Executive Director.
Donations
Work with the Administrative Coordinator to track individual and corporate donations; work with staff to source and track in-kind donations.
Manage all aspects of our donor database (Zeffy).
Draft donor communications including fundraising campaign materials, thank-you emails, updates on the impact of donations, and in-kind donation requests.
Communicate with funders via email (e.g., reason for rejections, annual reports, etc.) as necessary.
Work with the Executive Director and/or Outreach & Communications Officer for appropriate funder and corporate donor recognition on organizational website and social media.
QUALIFICATIONS
We are looking for someone who...
has experience with grant writing, funder management and/or in a leadership role in a community/non-profit organization;
is bilingual with excellent oral and written communication in English and French, and who can provide translation (English to French);
enjoys working autonomously as part of small team;
is self-motivated, highly organized, professional, detailed oriented, and has an ability to meet deadlines and juggle multiple projects at once;
skilled at Microsoft Outlook, Excel, SharePoint, and database management software;
Bonus: has experience using Grant Connect, Zeffy, and creating project budgets.
DETAILS:
The position is permanent and part-time, starting late August 2026: 20 hours per week, Monday to Friday, with a starting salary range of $24.24 - $25.73 per hour depending on experience. Annual salary increases based on inflation, RRSP matching program, 6% vacation pay first two years, 10 personal days, and paid holiday time when the office is closed.
