Job Summary

At the heart of our work is an interdisciplinary approach that delivers holistic, community-based care – with a strong focus on individuals who experience barriers to accessing health services.  Our team is deeply committed to inclusivity and works within the social determinants of health framework, emphasizing prevention, health promotion, and client education.

Under the direct supervision of the Director, Human Resources department, the Data Record Clerk will be responsible for converting physical documents into digital records, organizing electronic files, maintaining document accuracy and ensuring secure record management in accordance with organization procedures. This role ensures data integrity, maintains electronic filing systems, and supports efficient document retrieval and records management across the organization.

Primary Responsibilities

•         Responsible for Scanning, digitizing, and upload physical documents.

•         Index, categorize, and organize digital files according to company standards.

•         Verify the accuracy and completeness of digitized records.

•         Perform quality checks to ensure scanned documents are clear, legible, and properly filed.

•         Maintain confidentiality and security of sensitive information.

•         Retrieve, archive, and manage electronic records as required.

•         Update databases and electronic filing systems with accurate information.

•         Identify and resolve discrepancies, duplicate records, and missing documentation.

•         Assist with records retention and document disposal processes in accordance with company policies.

•         Generate reports related to document tracking and digitization progress.

•         Collaborate with departments to ensure proper document handling and storage.

•         Compare data with source documents, or re-enter data in verification format to detect errors.

•         Store completed documents in appropriate locations.

•         Maintain logs of activities and completed work.

•         Demonstrates good and safe work habits and maintains a clean working environment.

•         Work collaboratively with staff and community partners to deliver program and communications goals.

•         Support all administrative and data-entry tasks as assigned.

Required Qualifications

•         A minimum of a High school diploma is required

•         Minimum 1 year of experience in data entry, document management, records administration, or a similar administrative role is required.

•         Experience working in a healthcare sector is preferred

•         Ability to manage large volumes of documents while maintaining accuracy.

•         Experience handling confidential and sensitive information.

•         Strong attention to detail and organizational skills.

•         Strong written and verbal communication skills.

•         Creative and passionate with a desire to learn, roll up their sleeves and lead with a client-centred approach and self-motivated mindset.

•         Ability to balance all job requirements in a busy atmosphere, including responding promptly to all communication.

•         Experience with records management or document control.

•         Familiarity with digital transformation or records digitization projects.
