The Role

Reporting to the Vice President, Operations & Development, the CRM Administrator will oversee the configuration, maintenance, and enhancement of our CRM database, Hubspot, in order to improve our ability to engage with stakeholders, promote our research findings, and successfully fundraise. This role will work closely across teams at the Institute, supporting staff in various departments to build and maintain contact records and lists, managing data related to events, fundraising and subscriber outreach, and ensuring the CRM is used to its full potential.

We are looking for a detail-oriented, tech-savvy, responsible, and adaptable professional who is experienced in handling a wide range of administrative responsibilities, data and information management with confidence and superior organizational and project management skills. 

Responsibilities

  • Manage and maintain HubSpot, ensuring data accuracy and integrity.

  • Develop and implement processes for data entry, reporting, and analysis to support the Institute’s fundraising, stakeholder engagement, government relations and marketing objectives. 

  • Provide training and support to team members on HubSpot functionalities and best practices.

  • Lead the development and improvement of Hubspot properties, lists, workflows and functions to support effective use and management of data and metrics.

  • Lead day-to-day management of contact record updates, logging meetings and other outreach activities, updating contact lists, data cleanup, and reporting on activities as needed, in collaboration with other staff.  

  • Establish and maintain best practices, documentation, and resources for the Institute’s Hubspot applications inclusive of security procedures and Canadian laws. 

  • Integrate Hubspot with other products and third-party applications to streamline processes and enhance functionality. 

  • Stay informed about the latest CRM updates, trends, and technologies, and provide recommendations for continuous improvement and innovation. 

Essential Qualifications and Skills 

  • Experience working with HubSpot and/or other CRM systems in a non-profit setting, including managing contact records, generating lists and reports, and improving back-end system design or functionality

  • Attention to detail and a demonstrated commitment to delivering impeccable work

  • A post-secondary degree and/or professional training/certification in information management, library science, data processing and/or CRM management is highly preferred

  • Highly resourceful and proactive team-player with the ability to be extremely effective independently

  • A creative problem-solver adept at troubleshooting issues using online tools and training, verifying contact data, and proactively fixing or improving issues they encounter 

  • Proven ability to handle confidential information with discretion 

  • An interest in Canadian climate change policy and the government, stakeholder, media and philanthropic landscape is an asset

  • Familiarity with Canadian Anti-Spam Legislation, privacy laws, and lobbying registries and reporting requirements in various Canadian jurisdictions is an asset
