The Role

The External Affairs Coordinator will support the Institute’s External Affairs team with project coordination and administrative support across our program activities. This includes providing detail-oriented event planning and execution support, contributing to the production and distribution of content for our external channels, maintaining up to date contact lists and database info, and coordinating briefings, webinars, and meetings with external audiences and partners. The Coordinator will also assist with tracking the performance of External Affairs team activities by  gathering analytics and KPIs to assess the reach of our work and generating monthly lobbying reports. 

The successful candidate will be highly motivated, organized, and capable of managing a variety of fast-moving tasks with an impeccable eye for detail. The Coordinator will ensure the registration and delivery of webinars and events go off without a hitch, contribute to the timely and accurate compilation and maintenance of engagement and communications data, and coordinate and schedule external meetings across various research streams and engagement priorities. 

You will work closely with colleagues across the Institute and act frequently as the interface with external stakeholders and rights holders across the country. 

Essential Qualifications and Skills 

  • Up to five years experience in stakeholder engagement or government relations, preferably in fields related to climate, environment or energy policy or research
  • Experience working with CRM systems, such as HubSpot, Salesforce, NationBuilder etc., including managing contact records and generating lists and reports
  • Experience supporting the implementation of engagement strategies with a mix of governments, industry, academia, Indigenous peoples, youth, civil society, and/or equity-seeking communities
  • Familiarity with lobbying legislation and reporting requirements in various Canadian jurisdictions, especially at the federal level 
  • Undaunted by routine, detail-oriented administrative engagement tasks including list-building, CRM database management, engagement tracking and reporting, and coordinating meetings with stakeholders 
  • Experience creating newsletter content and managing website properties 
  • Technical experience providing back-end webinar support, publishing on official social media sites (BlueSky, Wordpress, LinkedIn, Meta/Instagram/Facebook, X), and collecting performance metrics
  • A quick learner comfortable adopting new tools and/or working with GSuite, WordPress, MailChimp, media and social monitoring and evaluation platforms, Zoom, Slack and more
  • Agile, outcomes-driven project management skills and a proven ability to juggle competing priorities and deliverables
  • Demonstrated competencies in applying justice and equity principles to engagement strategies and practices
  • Interested in  Canadian current events and the key players related to climate, energy and resource policy

  • At ease working in both French and English 
  • Highly organized and energized by tasks that require systemic thinking
  • A polished and sensitive communicator with excellent writing, verbal, and interpersonal skills
  • In tune with current affairs, best practices in engagement and outreach, and the policy considerations that advance Indigenous rights, knowledge, and reconciliation
